Job Summary The HRIS Specialist is responsible for the administration, maintenance, and optimization of Mead Lumber’s HRIS platform (UKG). This role ensures accurate and consistent HR data, supports compliant and efficient HR, payroll, benefits, recruiting, and safety processes, and serves as the primary resource for system‑related needs. The HRIS Specialist manages reporting, monitors system performance, supports integrations, and evaluates new UKG enhancements or modules. This position works closely with HR, Payroll, Benefits, Recruiting, Safety, IT, and location managers to troubleshoot issues, improve workflows, and implement system‑driven solutions that enhance operational efficiency.
System Configuration & Optimization
Administer all UKG modules, including Core HR, Payroll, Benefits, Recruiting, Onboarding and Workforce Management.
Configure workflows, fields, and forms to support evolving business needs.
Test and implement UKG quarterly updates and new functionality.
Validate and test UKG weekly patches, monthly enhancements, and quarterly releases to prevent calculation errors, system failures, and user access issues.
Partner with managers and department leaders to understand operational needs and build or refine HRIS workflows, forms, and processes that improve efficiency and accuracy across locations.
Research and assess UKG enhancements and new modules, determining their applicability to Mead Lumber’s operational needs. Provide management with recommendations, impact analyses, and implementation considerations.
Data Integrity & Reporting
Conduct regular audits to maintain clean and accurate employee data.
Develop custom reports and dashboards for leadership, compliance, and audits.
Ensure consistent data flow and alignment across HRIS modules.
Monitor and correct data integrity issues that impact pay accuracy, benefits eligibility, PTO balances, and compliance reporting.
Manage HRIS reporting needs including turnover metrics, headcount, ACA reporting, safety data, leave usage, cost modeling, and workforce analytics.
Security & Compliance
Maintain system security roles and access permissions.
Ensure compliance with legal requirements (ACA, FMLA, EEO, pay transparency, etc.).
Support audit readiness and data retention policies.
Ensure the HRIS is accurately configured for legal and regulatory requirements, reducing exposure related to ACA, wage‑and‑hour rules, paid leave laws, payroll taxation, and benefits eligibility.
Integration & Vendor Management
Oversee system integrations between UKG and third‑party vendors (e.g., benefits, background checks, LMS).
Act as the primary point of contact with UKG for support and enhancements.
Monitor, troubleshoot, and maintain all file feeds such as medical/dental/vision, HSA/FSA, life/LTD, retirement/ESOP, background checks, and LMS to ensure accurate data transmission and prevent interruptions to payroll and benefits operations.
Training & User Support
Provide system support and training to HR team members and field users.
Develop user guides and conduct onboarding and open enrollment sessions for new users.
Troubleshoot and resolve system‑related issues.
Support 50+ locations by responding to daily UKG issues such as passwords, punches, workflows, timecards, recruiting access, and benefits questions.
Continuous Improvement
Proactively monitor system performance, emerging issues, and process gaps before they impact employees, payroll, or benefits.
Anticipate future HR, payroll, safety, and compliance needs and recommend UKG‑driven solutions in advance of organizational changes.
Identify opportunities to improve efficiency through automation and system enhancements.
Stay up to date on UKG system changes, weekly, monthly, quarterly, & yearly and HRIS best practices.
Recommend and implement automation and workflow improvements that reduce manual work, prevent errors, and generate cost savings.
Stay current on UKG enhancements, new module offerings, and best practices, and proactively evaluate whether new features or add‑ons could improve HR, payroll, benefits, recruiting, or timekeeping processes. Present recommendations and business cases to management for potential adoption.
Desired Skills, Knowledge, And Qualifications
Bachelor’s degree in Human Resources, Information Systems, Business, or a related field.
3+ years of hands‑on HRIS experience, with preference for UKG (Ready, Pro, or UltiPro).
Strong understanding of HR processes and compliance.
Advanced Excel and report‑building experience (BI within UKG a plus).
Excellent organizational, analytical, and communication skills.
Experience implementing or expanding UKG modules.
Familiarity with benefits administration, payroll workflows, and timekeeping.
Experience working in a multi‑location environment.
