Required Experience and Education

Education:

Bachelor’s Degree in business administration, healthcare administration, or a directly related field.

Experience:

4 years of related experience. Will consider additional years of progressively responsible administrative experience in business, medical, scientific or healthcare environments in lieu of education.

Job Duties

Guides, analyzes, coordinates and evaluates program operation and procedures; develops and/or oversees development of budget for each program.

Assists the Graduate Program Chair and relevant faculty/staff members with preparation of graduate program documentation for SACS and T32 training grant review deadlines; facilitates internal & external program reviews and annual program reviews.

Interprets and applies SACS and other national accrediting bodies’ requirements and institutional policies to support compliance; monitors and disseminates information regarding various institutional and program accreditation; maintains knowledge of the rules, regulations, policies, administrative guidelines, and legal issues that impact or govern the graduate education programs.

Coordinates program activities for assigned committee meetings to include scheduling, notice deliveries, agendas, minutes transcription and reporting of the meetings. Prepares and monitors official graduate program correspondence to trainees to include all academic status changes and timelines to degree. Directs the educational auditing process of trainees, including tracking completion progress and identifying outliers while preparing plans for remediation of identified deficiencies. Prepares, edits and distributes correspondence and complex reports as needed for SGS leadership.

Participates in planning of programmatic events: information session, orientations, courses, qualifying exams, dissertation defenses, graduate program special topics seminars, retreats and symposia.

Coordinates graduate program faculty appointment and reappointment process; works closely within the Graduate School Dean’s Office for all faculty transactions and with the Graduate Program Chair to prepare the appointment/reappointment data based on established guidelines from the Office of the SGS Dean.

Manages programmatic intranet site and external internet sites for accuracy related to programmatic statistics, degree plans, course descriptions, faculty membership and outcomes.

Acts as liaison between the departmental offices, service departments and the individual graduate training programs. Provides SGS subject matter expertise as required by internal departments including Academic Information Systems, Campus Solutions and HCM teams, Registrar and Student Accounting offices as related to troubleshooting software and processes.

Creates and approves HCM forms when needed per training grant activity and/or departmental requests.

Courteously facilitates and responds/resolves requests, complaints and communication with staff, faculty, students and guests. Exercises good judgement, discretion and diplomacy in communications.

Assists in the development of complex reports and presentations for the Graduate School Dean’s Office.

Performs other duties as assigned.
