JOB SUMMARY:
The Reception Coordinator oversees all front desk operations by recruiting, training, and leading a team of volunteer receptionists. This role ensures the front desk is consistently staffed during business hours, provides ongoing support and updated procedures to volunteers, and maintains a welcoming, professional environment for all visitors and callers.
ESSENTIAL JOB RESPONSIBILITIES
Receives incoming calls and directs caller to destination
Answers basic questions covering the ministries and programs at Chase Oaks Church and Local Good
Warmly greets visitors and connects them to the person they have come to see
Checks in Pastor-of-the-Day (POD) visitors and notifies assigned pastor of visit
Receives deliveries into mailroom and sends an email to staff when received
Maintains switchboard views and external contacts/internal reception files
Manages inventory of office supplies and paper, submitting weekly orders including special staff orders and processing invoices
Manages office kitchen inventory, including ordering and stocking supplies
Ensures cleanliness of the lobby space and readiness of neighboring conference room’s space and beverage offerings
Performs a variety of clerical duties as the need arises
Trains new volunteer receptionists and administrative team members on covering the front desk
Locates volunteer or sub to ensure coverage when absent
Recruits, interviews, and onboards volunteer receptionists
Creates and maintains volunteer schedules to ensure front desk coverage during business hours.
Provides regular training, updates, and coaching to volunteers on procedures and customer service
Maintains a warm, professional, and hospitable environment for all visitors, callers, and staff.
Keeps reception procedures, checklists, and training materials updated
Serves as the main point of contact for volunteer communication and scheduling changes.
Communicates updates, new policies, and changes to front desk processes
Maintains records of volunteers’ hours, attendance, and training completion

EXPERIENCE DESIRED
Minimum 2+ years in front desk and customer service capacities and/or training; or equivalent combination of education and experience.
Proven record of answering and directing phone calls in a busy front office.
Experience supervising or coordinating volunteers preferred.
EDUCATION DESIRED Minimum of high school diploma or equivalency; college degree preferred
SUPERVISORY RESPONSIBILITIES There are no supervisory responsibilities with this role
LANGUAGE SKILLS Ability to speak effectively and understandably on the phone. The ability to effectively present information and respond to common inquiries regarding Chase Oaks ministries is also required. High attention to customer service.
COMPUTER SKILLS
Strong working knowledge of Microsoft Office, Outlook calendaring, and email
Basic knowledge of Excel
Strong data entry skills
Familiarity with databases
