GENERAL DESCRIPTION OF POSITION EHR Support Analysts will oversee the implementation and ongoing management of electronic health records (EHR) and other clinic related software applications in collaboration with the Sr. Analyst.

JOB SCOPE Performs duties independently with minimal supervision, dealing with multiple priorities. Decisions are made within general policy guidelines, but must require collaborative and unique decision‑making for each situation. Mistakes/errors may result in unhappy clinic customers, damage to the academic experience of faculty and students resulting in poor image of the clinic or University. Situations of work stoppages caused by the EHR and supporting software issues require prompt and immediate attention and resolution.

ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES

Provide direct support to clinical, operations, and patient care teams to facilitate the introduction, acceptance, integration, and optimal use of the Epic application in the clinics assigned.

Collaborate with clinic leadership and end users to identify opportunities for efficiencies in clinic operations, clinical practice support, and improved health outcomes.

Provides support for Topcon Harmony PACS and other clinical applications at Pacific University clinics.

Responsible for chart corrections and patient merges within Epic and Topcon Harmony.

Responsible for creating and maintaining Provider Master File (PMF) records and Epic User Accounts within Epic as well as user accounts within other clinical applications such as Harmony, Compulink Advantage, and Artera.

Tests Epic Enhancement and Service Packs as well as Topcon Harmony upgrades as they become available. Creates training material and provides end user training on changes being introduced through these system updates.

Works closely with community partners to manage IntraService Area Referrals through Epic.

Facilitates changes within the Pacific Healthcare System as changes are introduced as part of workflow optimization, issue resolution, Epic upgrades or at the recommendation of University Compliance. Works with Healthcare Operations team to determine departments that are required to change.

Manages projects pertaining to clinical applications as the need arises.

Collaborates with OCHIN, Pacific University Colleagues, and end users in the development and optimization of workflows. Utilizes MS Visio to document new workflows or workflow changes.

Creates end user training material in both PDF and video formats supporting the utilization of the Epic for all end users.

Manages collaboratively with Healthcare Operations team an expansive online library of reference material, made available through the Service Portal Knowledgebase.

Provides training to new workforce members, providers, and students prior to their start in clinic.

Provides competency/efficiency training to existing users on changes to workflows and upgrades as implemented.

Manages Artera software ensuring accurate integration with Epic's.

Responsible for supporting all modules of Epic EHR used at Pacific University (registration, billing, documentation, et cetera).

Works closely with OCHIN and end users to troubleshoot and resolve issues pertaining to the Epic modules.

Manages TDX Services Portal as part of managing incoming help requests from clinic staff, students, and providers.

TRAINING

Demonstrates outstanding interpersonal communications skills and adult teaching techniques.

Coordinate and provide all necessary training to new clinic staff and providers, coordinate issuance of ID and password, and provide go‑live support according to established processes.

Provide competency/efficiency training for existing users in conjunction with clinic leaders and Healthcare Operations team and trainers.

Support upgrade training in collaboration with Healthcare Operations, Sr. Analyst and OCHIN.

Coordinate with clinic leadership, students and physician champions for learning sessions or trainings at established staff or provider meetings.

SUPERVISOR RESPONSIBILITY

Works under the direction of Sr. EHR Analyst.

This is a collaborative position that will require interaction with all members of Healthcare Operations, administrators, faculty, staff, and students across the university as well as UIS HCIT Specialists.

Qualifications EDUCATION AND/OR EXPERIENCE

Experience with Electronic Health Records use, teaching or support.

Experience working in a clinical setting and familiar with medical terminology, procedures and processes.

BA or BS required, preferably with a major or certificate in healthcare administration, health information management, health information technology or a related field. Related work experience preferred.

Required knowledge and experience with Epic or other similar EHR system.

Demonstrates ability to work in a team environment.

DESIRABLE KNOWLEDGE, SKILLS, ABILITIES & BEHAVIORS

Software training experience and/or other teaching experience involving adult learners is helpful.

Familiarity with various Electronic Health Record Systems.

Proficient in using MS Office including Excel, Visio and MS Word.

Report writing and report validation skills are strongly desired.

Familiarity with ambulatory clinic workflows.

WORKING CONDITIONS

This position works remotely but will travel to clinical sites as needed in any given week.
