Position Description:

The Department of Mathematics at the University of Louisville invites applications for a Department Coordinator II supporting the Department Chair and Vice Chair. This position serves as the primary point of contact for the department and plays an essential part in ensuring efficient administrative and operational support. The ideal candidate is an organized, proactive communicator who thrives in a dynamic academic environment and is committed to providing excellent service to all members of the mathematics community.

Essential Duties and Responsibilities

Serve as the central office resource for the Department of Mathematics, responding to in-person, phone, and email inquiries; providing accurate information on departmental programs, services, policies, and procedures; and directing individuals to appropriate campus resources. Provide general administrative support including book orders, correspondence, copying, and scanning.

Support Graduate and Undergraduate Program Directors by assisting in the processing of applications and acting as the liaison to the A&S Business Center for onboarding and tuition remission.

Serve as the department's travel resource, following university policies.

Coordinate departmental events, including seminars, lectures, and special programs which may include logistics, travel, facilities requests, publicity, honoraria, fees, and related payments.

Serve as the liaison to the UBM-I regarding financial transactions. Manage departmental purchasing, procurement card, and stockroom/equipment needs.

Assist with course scheduling, including teaching assignments, room scheduling.

Perform other duties as assigned to support the overall operations and mission of the department.

Preferred Qualifications

Two years' work experience in an academic unit

Effective communication and customer service skills

Strong proficiency with Microsoft Excel, Word, Teams, and Outlook

Proficient in Workday

Compensation Target Compensation Minimum: $16.93 per hour; Target Compensation Maximum: $25.39 per hour. Compensation will be commensurate with candidate experience.
