Position Summary This is an entry-level position which requires the ability to provide effective, energetic, pro‑active and innovative support to the Project Management, Pre‑Construction and Field Operations teams. A Project Administrator assists with project schedules, submittals, daily administrative tasks and many other responsibilities.
Job Duties and Responsibilities Project Management
Assist project managers in the development of project objectives by reviewing project proposals and plans
Create solid foundation/structure of project files to ensure accurate organization and ease of use for project team
Assist with submittal logs in accordance with the project schedule and specifications. Monitoring and expediting submittals in accordance with project requirements and following through as required.
Development and design of as‑builts; properly identifying, communicating and resolving design‑drawing conflicts that arise during project and research, transmit and monitor RFI’s
Coordinate with project management team and effectively communicate daily operations as well as future plans over the course of the project
Assist and expedite the process of obtaining proper permits and materials required for the project
Generate and facilitate testing reports and inspections for Quality Assurance purposes
Assist and expedite the issuance/creation of Purchase Orders and Change Orders as approved by project manager
Attend and document project meetings with General Contractor and Vendors as needed
Ensure communication and support with project team and ensure client satisfaction
Pre‑Construction
Assists in project quantity take off/estimating/budgeting of preliminary and developed project scope documents
Analyze project drawings and specifications for specific project requirements
Assist with the set‑up of jobs for accounting purposes
Assist pre‑construction team on an ongoing basis with current and future projects
Field Operations
Responsible for gathering, organizing and tracking field personnel time and working closely with Payroll Department on accurate data entry
Accurately track and monitor Paid Time Office for field personnel
Track and monitor subcontracted labor and ensuring accuracy for payroll purposes
Assist with the coordination, scheduling and logistics of required materials, construction documents and other necessary items for daily operations
Assist Superintendent and field leadership with issues that arise daily
Assist Superintendent and field leadership with implementing and maintaining safety programs including Adams Workday Prep
Make frequent visits to the project site, verifying that the site is organized and clean and that satisfactory progress is being made
Assist Human Resources/Business Development with the implementation of employee development initiatives
Build strong relationships with field personnel and offer continued support

1-3 years experience in Construction industry preferred
Electrical or healthcare construction experience preferred
Proficiency in MS Office – specifically with Outlook and Excel
Experience in Box, Procore and Bluebeam software preferred
Experience with estimation preferred
