DDS Assistant Program Manager (Pioneer House)

Responsibilities
Coordinate and implement in‑house programming, including assessments, goal planning, evaluation of daily progress, monthly resident reviews, and monitoring recreational programs.
Seek community resources and create trip logs for van use.
Make independent judgments using discretion for the benefit of individuals and ensure services follow written plans.
Organize records and keep them up to date.
Participate in interdisciplinary and staff meetings and collaborate with consultants, especially psychologists, on programming.
Follow through on recommendations for the U.R. committee and attend U.R. meetings when delegated.
Complete and maintain investigation certification related to DDS incidents.
Ensure all safeguards for life‑safety situations are implemented and followed.
Maintain and submit timely, accurate records and reports regarding health, safety, and program quality.
Submit, update, and close all program incidents and maintain compliance with OPWDD and the Justice Center.
Make records available for review for IPR & U.R. and ensure accessibility to supervisors.
Show awareness of and sensitivity to cultural and socioeconomic characteristics of the population served.
Prepare staff schedules for Program Specialists, manage vacation, personal, and sick leave, and ensure coverage during emergencies.
Ensure appropriate staffing patterns per facility policy and conduct scheduled supervisor meetings to discuss programmatic and staffing issues.
Evaluate staff performance through observations and performance counseling in collaboration with the Program Manager.
Assist each individual in skill development (activities of daily living, domestic life, recreation, and socialization) as needed.
Support the Program Manager in devising and executing agency/program policy in accordance with OPWDD and funding guidelines.
Conduct frequent rounds on all shifts and submit reports to the Program Manager to ensure safety, health, environmental comfort, and program quality.
Perform medical assistant responsibilities, including tracking appointments, communicating with CMS, nurses, doctors, and managers, ensuring medication inventory accuracy, ordering refills, following up on medical appointments, completing referral forms, and monthly medical book reviews.
Coordinate transportation activities to maximize use of transportation services for day programming, recreation, medical appointments, and special requirements.
Ensure individuals are transported to and from programs, community inclusion activities, medical appointments, home visits, and all other activities as needed.
Complete Staff Information Entry Form when escorting individuals on medical appointments and ensure timely receipt of all personal items (toilet items, clothing, and personal effects).
Prepare Day Program progress reports at ITT reviews as assigned.
Distribute petty cash funds to staff or collect receipts and submit them to the Program Manager.
Conduct monthly fire evacuation drills including all staff members on all shifts.
Participate in admission and discharge reviews and make recommendations to the Program Manager.
Develop monthly recreation schedules in consultation with the Program Manager and implement in‑house and community recreational activities with hands‑on assistance as needed.
Perform other duties as assigned and direct care as needed.
Adhere to attendance standards (100 PM – 900 PM, Sunday–Thursday, and at the discretion of the Program Manager).
Essential functions of the job include, but are not limited to, the duties listed in the job description.
Qualifications
High school diploma with one year experience in Human Services (Social Work, Psychology, Special Ed., etc.) or related field required; Associate’s degree preferred.
One year administrative experience.
Two years minimum experience working with individuals diagnosed with intellectual disability (ID).
Must be able to travel, have good writing skills, articulate, and be an aggressive advocate.
Must have respect and consideration for the resident being served.
AMAP, SCIP‑R, and First Aid/CPR certified.
A valid driver’s license is required (must be able to drive a large vehicle e.g., wheelchair or 15 seater van).
