Job Overview The Patient Resource Representative is responsible for scheduling, pre‑registration, insurance verification, estimating patient liability, collecting payments over the phone, and managing inbound/outbound calls for Primary and Specialty clinics. The role also handles specialized programs such as ACN Hotline, MyChart scheduling, referral and Epic work queues, and provides overall front‑line patient and call center support for the Patient Resource Center.

Key Responsibilities

Schedule appointments in Epic following departmental guidelines.

Pre‑register patients, verify insurance eligibility, and generate patient estimates.

Collect payments, document transactions in HIS, and provide receipts.

Handle inbound calls and assess patient needs, providing first‑call resolution whenever possible.

Route and transfer calls to appropriate clinics and support services.

Use multiple computer tools (EHR, telephone software, Microsoft Office, faxing, electronic faxing) to enter and manage data.

Manage specialized access programs: ACN Hotline, MyChart scheduling, referral work queues, and outbound dialing for patient follow‑up.

Monitor and resolve errors in registration work queues and maintain accurate patient records.

Coordinate resources such as interpreter services, transportation, and other community resources.

Maintain adherence to compliance, security, and AHA Standards.

Qualifications

High School graduate or equivalent (GED) preferred.

Minimum 2 years of experience in a call center or 1 year in a physician’s office.

Experience with multi‑line phone systems, electronic medical record systems, and multitasking across multiple software programs.

Keyboarding: 35 wpm or greater.

Proficient in a Windows‑based environment.

Excellent verbal, written, and listening communication skills.

Excellent customer‑service orientation.

Knowledge of medical terminology and abbreviations.

Demonstrated ability to function effectively with patients, peers, and providers while adhering to departmental policies.

Ability to analyze and apply departmental protocols, provide clear instructions, and demonstrate compliance with industry standards.

Strong writing skills with appropriate grammar and sentence structure.

Experience utilizing third‑party payer/insurance portals and verifying insurance coverage.

Ability to multitask, prioritize, and maintain calm under interruption.

Familiarity with Microsoft Office suite, scanning, electronic faxing, telephone software, and electronic medical records.

Capacity to manage rapid volume of inbound calls and meet performance metrics for quality, accuracy, and pace.
