Dispatch Representative

Job Overview The Dispatch Representative plays a crucial role in the Transportation Department by assisting with the dispatch of drivers, managing reporting duties, and supporting day-to-day operations. This position requires effective communication with drivers to ensure timely deliveries and adherence to schedules. Additionally, the Dispatch Representative is responsible for organizing and processing driver paperwork, ensuring accurate payment, and maintaining service quality through active monitoring and coordination.
Duties And Responsibilities
Dispatch drivers as they depart from the terminal, ensuring clear communication of expectations and routes.
Monitor drivers for adherence to delivery schedules and timeliness, addressing any delays or issues promptly.
Use communication devices to maintain constant contact with drivers, providing updates and instructions as needed.
Update customer-based platforms daily with required dispatch information and notate exceptions.
Escalate service interruptions or failures to appropriate parties to ensure quick resolution and minimal impact on operations.
Organize and confirm all of driver's paperwork gets scanned into system at the end of their shifts to facilitate accurate and timely payment.
Complete driver trips in the AS400 system and scan all completed documents to email to payroll, ensuring drivers are paid on time.
Identify and address any missing paperwork or exceptions that require further research.
Communicate with customers regarding updates on expected time of arrival (ETA) back to the terminal.
Verify driver start and end times for accuracy and ensure adherence to scheduled start times.
Perform other duties as assigned.
Qualifications
High school diploma or equivalent education.
1-2 years of relevant experience.
Working knowledge of AS-400 and intermediate computer skills are preferred.
Ability to work efficiently under pressure and meet tight deadlines with minimal direction.
Strong ability to maintain positive working relationships with co-workers and management.
Excellent verbal and written communication skills, capable of effectively communicating with a diverse range of individuals.
Familiarity with operating rules and company policies, ensuring compliance and operational integrity.
Dependable and able to thrive in a fast-paced working environment.
Experience with truckload deliveries is preferred, highlighting a background in transportation or logistics.
Physical Demands
Extended Sitting: Primarily desk-based with prolonged computer use.
Light Lifting: Occasional handling of objects up to 20 pounds.
Computer Use: Frequent operation of computers and office equipment, requiring manual dexterity.
Eye Strain and Repetitive Motion: Risk from continuous screen use and repetitive tasks like typing.
Continuous Communication: Constant use of phone and radios, necessitating clear speech and attentive listening.
