The general pay scale for this position at MOH is $23.42 - $30.73 per hour. The actual hiring rate depends on experience, education, responsibilities, location, performance, etc.

Scope Under direct supervision, provides administrative and staff support services for the department. Handles administrative tasks for projects, programs or processes specific to the operating unit served. Keeps records, statistics, and files according to standardized procedures and requirements. May be the contact person for information on administrative processes. Supports and adheres to the US Oncology Compliance Program, including the Code of Ethics and Business Standards.

Responsibilities

Provides administrative support for special projects to include research, compiling data and preparing standard reports.

Answers telephones, takes accurate messages, screens and directs calls professionally. Composes, prepares, and proofs correspondence, office memos, and reports electronically, maintaining confidentiality as required.

Handles all administrative details to support programs or processes under the direction of the physician or manager, including handling requests for information, sending routine letters and inquiries, answering questions, following up on problems or needed changes.

Prepares materials needed by the Department relative to processes or programs. Designs, implements, and updates forms for use within the office using software applications.

Maintains files in an organized, accessible manner, updating information, purging files regularly, and creating new filing systems as needed. Maintains program calendars and schedules meetings and appointments; may make meeting arrangements or coordinate needed changes.

Uses and maintains databases and online records, ensuring accuracy of hard copy and online records. May receive invoices, review for accuracy, provide codes for payment or tracking, complete approval documentation and obtain authorized signatures; forwards records to accounting for processing, expedites payments and files in appropriate records system.

Maintains and updates physicians’ medical licensure, professional certifications, liability, board certifications, and CVs. Manages all health plan contracts (new & re‑apps) and hospital appointment applications.

Coordinates physician monthly on‑call schedule and maintains monthly vacation/time‑off and on‑call accruals and holiday rotation; completes and distributes weekly schedules.

Handles requests for patient charts and copies pertinent information according to office guidelines. Processes extensive and accurate medical transcription to include patient consultations and all notes pertinent to patient treatment as dictated by physician. Types reports, manuscripts, quality assurance records as necessary.

Completes patient disability forms when necessary.

Qualifications

High school diploma or equivalent required. Associate degree in business, office administration, or related field preferred.

Minimum of three years of office administration experience.

Physical Demands Requires prolonged sitting, some bending, stooping and stretching; eye‑hand coordination and manual dexterity for keyboard, photocopier, telephone, calculator; normal hearing and vision correctable to 20/20; occasional lifting up to 30 pounds.

Work Environment Office environment with frequent contact with staff; exposure to clinic environment conditions. Reasonable accommodations may be made for disabilities.
