Hartford HealthCare Medical Group is one of the largest medical practices in New England with multiple locations throughout Connecticut and Rhode Island. We consist of a team of professionals ranging from Medical Assistants to Physician Assistants and everything in between. Our physician‑led medical group enjoys an excellent reputation with patients and the medical community, offering primary care, urgent care and more than 30 different specialties.

Responsibilities

Schedule hospital‑based procedures/surgeries according to physician orders and insurance requirements, ensuring all necessary paperwork and required tests are completed and clearly communicating pre‑ and post‑surgery instructions to patients.

Reconcile all dropped charges to match authorized procedures and handle escalations as necessary.

Maintain and manage resources, including insurance portal access, and provide consistent documentation in EPIC to support obtained insurance authorization.

Communicate changes in payer and federal regulatory guidelines to manager, pharmacy staff, providers, and other clinical departments as applicable.

Communicate with patients to provide pre‑ and post‑surgery instructions, obtain completed consent forms and required tests or preparations needed prior to surgery, prepare and distribute surgery packets, and keep physician and clinical staff informed regarding pre‑op testing and maintain updated documentation and charts available for physician review.

Coordinate with hospital staff for scheduling according to assigned block time and collaborate with hospital teams for inpatient case coordination and add‑ons.

Ensure necessary H&P, surgical clearance, blood work and other patient tests are completed and scan all necessary clinical documents.

Contact insurance company to obtain pre‑certification of surgeries based on booking sheet and documents in chart, maintain and obtain all surgical authorizations, and update surgical authorizations with changes related to booked cases.

Qualifications

High school diploma

Three years of experience in a healthcare setting

Three years of experience in surgical scheduling, preferably with a high volume surgical practice

Spanish bilingual preferred
