Mailroom and Shipping Coordinator – JLL

What this job involves As a Mailroom and Shipping Coordinator at JLL, you will be responsible for receiving, sorting, processing, and distributing all incoming packages and pallets while managing outgoing shipments through designated freight suppliers. This role requires you to maintain inventory using client inventory systems, process shipping labels for outbound shipments, and utilize SCLogic scanners to scan and record all incoming and outgoing packages for both internal and external operations. You'll prepare and ship non-regulated packages received daily while managing temperature-sensitive shipments and coordinating package delivery to customer work areas that reflects JLL's commitment to operational excellence and client service in mail and shipping operations.

What your day-to-day will look like Package and Shipment Processing

Receive, sort, process, and distribute all incoming packages and pallets with comprehensive attention to detail

Pick up, process, validate documentation, and handoff to designated freight supplier all client-outgoing packages

Record and label materials while maintaining accurate documentation systems

Prepare and ship all non-regulated packages received daily following established protocols

Process all requests and orders while ensuring timely completion and accuracy

Inventory and System Management

Maintain inventory using client inventory systems with precision and accuracy

Enter Bill of Ladings and process 2Ship shipping labels for outbound shipments

Utilize SCLogic scanners to scan and record all incoming and outgoing packages for internal and external operations

Troubleshoot and fix any issues with Trackpad equipment and software

Use SCLogic data analytics to create reports and report out metrics on incoming and outbound shipping data

Quality Control and Operations

Clearly identify, sort, and manage all good and bad pallet inventories for mail, shipping, and receiving operations

Weigh and record weight of corrugated material and bundle for shipment daily

Report defective materials or questionable conditions to department supervisor

Maintain work area in clean and orderly condition while following prescribed safety regulations

Client Service and Coordination

Prepare courier packages while coordinating pick-up and delivery and confirming delivery/receipt with appropriate stakeholders

Resolve any related shipping issues in timely manner with professional customer service approach

Manage incoming and outgoing temperature-sensitive shipments with specialized handling requirements

Deliver or coordinate pickup of packages to customer work areas while ensuring proper handoff procedures

Safety and Emergency Preparedness

Maintain ability to frequently walk up and down stairs for inspections and emergency procedure practice or implementation

Detect emergency alarms through auditory and visual awareness

Follow all safety protocols while lifting, bending, twisting, and operating manual pallet jack

Ensure compliance with all safety regulations and emergency procedures

Required Qualifications

High school diploma or equivalent

Ability to interact with client personnel with strong customer service and interpersonal skills

Excellent communication skills, both written and verbal, with ability to present information in clear and concise manner

High degree of accuracy required for handling sensitive equipment and proper routing of shipments

Ability to work in fast-paced environment while managing multiple work streams and priorities

Physical ability to lift 50 lbs. repeatedly and perform lifting, bending, twisting motions

Ability to operate manual pallet jack and other warehouse equipment safely

Capability to detect emergency alarms through auditory and visual means

Preferred Qualifications

Computer skills and experience with Microsoft products including Excel, Word, Outlook

Experience with SCLogic or similar tracking and inventory management systems

Background in warehouse, shipping, or mailroom operations

Knowledge of shipping regulations and procedures for various carrier services

Experience with temperature-sensitive shipment handling and protocols

Physical Requirements

Ability to lift 50 lbs. repeatedly throughout the workday

Capability to walk up and down stairs frequently for inspections and emergency procedures

Manual dexterity for operating scanners, computers, and warehouse equipment

Ability to perform lifting, bending, twisting motions while maintaining safety standards

Training Training will be provided depending on specific role requirements and client systems.

Location St. Paul, MN

Estimated compensation for this position 20.00 – 24.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
