People & Culture Coordinator
The Nines, a Luxury Collection Hotel in Portland, is seeking a People & Culture Coordinator to join their renowned team. The role supports the Human Resources function by maintaining accurate associate records, providing employment, benefits, associate relations and training support, and coordinating HR programs.
Responsibilities
Maintain all HR logs (new hire, termination, transfers, department meetings, turnover reports, birthdays, anniversaries, training, recognition) and prepare reports.
Maintain employee records and the HR office systems to compliance standards.
Prepare correspondence and memos as needed.
Assist in screening hourly applicants and determining eligibility; refer to managers as appropriate.
Assist with benefit enrollment and administration (group health insurance, 401K, vacation, sick leave, leave of absence, jury duty pay).
Assist with orientation and provide benefits overview to new associates.
Prepare/monitor Payroll Action Forms and update ADP entries for onboarding and terminations.
Notify managers of monthly reviews; track completed reviews.
Provide reception duties for associates and direct them as needed.
Help produce associate newsletter.
Ensure compliance with the Immigration Reform and Control Act.
Conduct exit interviews of hourly associates; log and update tracking spreadsheets.
Maintain associate bulletin board and post memos, event photos, safety materials.
Inventory office and benefit supplies, purchase orders, and maintain inventory.
Education and Formal Training Associates or Bachelor’s degree in HRM or related field, or equivalent education. Experience preferred.
Experience Minimum of one year hotel or human resource related work experience preferred.
Knowledge and Skills
Basic PC knowledge, minimum typing speed of 45 wpm.
Professional written and verbal communication; bilingual fluency a plus.
Hospitality oriented; able to work under pressure.
Able to handle multiple tasks simultaneously.
Excellent attention to detail and time management.
Excellent hearing, vision, and speech communication skills for interviews, phone and associate inquiries.
Excellent comprehension and literacy required for documentation.
Physical Demands
Transport supplies up to 35 lbs.; lift binders of documentation.
Bend/kneel to lower filing cabinets, bottom desk drawers.
Mobile: move around hotel; access files in office.
Continuous standing during training sessions.
No climbing or driver required.
Environment Works inside for 95% of the day.
