Job Summary Serve as the supervisor for campus event logistics, working with departments and organizations to arrange delivery, setup, and removal of event infrastructure. Responsible for coordinating work orders, estimates, setup diagrams, and ensuring safe and satisfactory event execution. Supervises Public Functions and Moving Crew foreperson and staff.
Duties & Responsibilities
Act as the main point of contact for campus departments, student organizations, and external groups requesting event services, including furniture rental and event infrastructure setup.
Coordinate all phases of event setup, including creating work orders, preparing cost estimates, issuing service requests to crafts/trades and Moving Crew/Public Functions staff, and ensuring services are scheduled appropriately.
Supervise, train, and evaluate Building Service Workers assigned to Moving Crew/Public Functions. Manage staffing levels, approve time reports, track vacation/sick leave, complete performance evaluations, and ensure all work assignments are up to standard. Monitor operational needs and ensure adequate coverage, including managing overtime as required.
Develop and maintain strong relationships with building occupants and other stakeholders through daily personal contact; address concerns and service needs to ensure satisfaction.
Maintain accurate records related to staffing, work assignments, and operational performance; generate reports as required.
Track and maintain Public Functions inventory; coordinate the replacement or purchase of new equipment in collaboration with Purchasing and vendors.
Respond to customer concerns and complaints in a timely and professional manner.
Assist in the development and implementation of new initiatives, continuously improving operational efficiency and effectiveness.
Maintain strong working relationships with university departments, vendors, and campus agencies to support event success.
Perform related duties as assigned to support event logistics, equipment management, and customer satisfaction.
Additional Physical Demands
This position is both sedentary and mobile, requiring the incumbent to regularly check various campus buildings and monitor the work performance of Building Service Forepersons, and Workers.
Exposure to seasonal weather conditions is expected, including sun, wind, cold, heat, dampness, snow, and ice during specific times of the year.
The role may require work outside of regular hours on occasion, with flexibility to adjust work hours based on the University’s operational needs. Shifts may vary and are subject to change as needed.
Minimum Qualifications
High school graduation or equivalent.
Three (3) years (36 months) of experience in building service operations or related work.
Two (2) years (24 months) in building custodial supervisory capacity.
Knowledge, Skills and Abilities
Strong verbal and written communication skills with the ability to clearly convey instructions and provide effective direction.
Proficiency in computer applications, including spreadsheets, email, and document management; familiarity with Microsoft Excel and Word preferred.
Thorough understanding of University, Facilities & Services, and Building Services policies and procedures.
Demonstrated ability to build positive working relationships and deliver excellent customer service.
Ability to accurately follow written and verbal instructions and maintain detailed records as required.
Commitment to supporting the Mission, Vision, Values, and Guiding Principles of Facilities & Services.
Appointment Information The Building Service Supervisor Public Functions is a 100% full-time Civil Service position, appointed on a 12-month basis. The annual salary range for this position is $67,000 – $72,000. Sponsorship is not available for this classification.
