Summary
A Front Office Specialist serves as the first point of contact, setting the tone for a world‑class Total Patient Experience. The employee also performs key administrative duties to facilitate a smooth check‑in/out experience for patients.
Location Work is primarily performed in a standard office or clinical setting. Travel to other locations may be required to carry out essential job duties and responsibilities.
Essential Duties and Responsibilities
Embrace and execute our Total Patient Experience to build relationships with all patients while delivering great service and support.
Provide exceptional customer service during every patient encounter (in person or via phone).
Display a professional attitude, greet patients promptly with a smile, and thank them when they leave.
Answer phones (both external and internal); assure prompt, courteous service at all times.
Practice urgency at all times with consideration to the patient's time, as well as doctor's time and schedule.
Double check insurance authorizations to ensure completion and build accurate flow sheets.
Check out patients and collect correct payments according to procedures.
Manage patient flow in the office and ensure communication to maximize efficiency and customer service.
Complete daily reconciliations, close day, and countdown cash drawer.
Comply with all company policies and procedures, including HIPAA.
General office duties and cleaning to be assigned by the manager.
Qualifications
Previous medical office experience preferred; previous ophthalmic experience strongly preferred.
Minimum of one year in a customer/patient‑focused position or equivalent combination of education and experience.
Favorable result on background check as required by state.
Must be able to provide proof of identity and right to work in the United States.
Education and or Experience
High school diploma or GED required.
Licenses and Credentials
None.
Systems and Technology
Proficient in Microsoft Excel, Word, PowerPoint, Outlook.
Physical Requirements
This role involves frequent walking (75%), sitting (50%), and standing (50%). It also requires regular bending, stooping, and reaching (25–50%). Employees must be able to lift, carry, push, and pull items up to 25 lbs. Strong fine motor skills and full use of hands are essential, as the role demands constant grasping, writing/typing, and use of technology.
Visual and auditory acuity—including color, depth, peripheral vision, and the ability to adjust focus—is required 100 % of the time.
Occasional driving or climbing may also be necessary.
