Job Summary
Under the general supervision of the Supervisor, and according to established policies and procedures, the Patient Access Representative interviews and registers all patients (Inpatient, Observation, Emergency, and Outpatient) to obtain demographic, third‑party insurance, and related financial information, and enters data into the online computer system. Initiates, reviews and follows‑up on patient accounts to ensure proper data collection for billing. Verifies all demographic and insurance information and obtains referrals as required. Responsibilities
Greets and directs patients, families, and visitors in a prompt and courteous manner.
Interviews patients or representatives to obtain complete and accurate insurance and personal/financial information.
Follows up on missing data by interviewing patients, families, or contacting employers, nursing homes, and other facilities.
Completes registration and enters all data into the hospital information system.
Proceeds to verify demographic and insurance information with open‑ended questions.
Assists with coverage verification, benefit determination, and confirmation of primary care physician match.
Notifies pre‑registration office of coverage changes and identifies primary and secondary insurers.
Completes lien forms, enters financial notes, and manages patient referrals for financial counselors.
Utilizes system tools to determine self‑pay balances and expected payments, and consults with patient financial advocates when necessary.
Collects co‑payments, documents collections, and logs payments in accordance with department policy.
Explains consent, financial, and insurance forms to patients or designees and obtains required signatures.
Generates patient registration record, plate, and distributes copies while ensuring accurate bracelet placement.
Communicates with service departments to obtain order information and with financial counselors for authorization requirements.
Documents and verifies all necessary paperwork, including advance directives and Advance Beneficiary Notices (ABN).
Monitors bed tracking, coordinates with nursing units for bed assignments, and assists with private room requests and deposits.
Performs related duties to support departmental operations and may provide coverage across multiple hospital locations.
Qualifications
High school diploma or equivalent.
Knowledge of medical terminology, third‑party insurance information, and standard office computer applications.
Preferred: Knowledge of third‑party payer verification and authorization processes.
Typing and data entry skills are required.
Six to twelve months of previous third‑party billing or hospital registration experience.
Data entry and PC proficiency.
Work Environment Sitting for long periods at a workstation requiring continuous use of a computer and telephone. May involve moderate to excessive walking depending on assignment location. Ability to lift up to 10 pounds.
Pay Range $17.77 – $29.31 per hour
