Overview
The purpose of this position is to assist Probation Officers in monitoring clients’ progress in meeting the terms and conditions of Probation. This position also provides administrative assistance on low risk and unsupervised probation cases. This position assists with the enforcement of collections of court ordered restitution, fines, fees, assessments and other monies owed to the Court; provides notification to the Court when a probationer becomes in arrears of court ordered monthly payments; provides victims with notification of court proceedings, any proposed modification to the terms of probation or any violation of the terms of probation that results in the filing of a petition to revoke.
Supervisory Responsibilities This position does not supervise other employees.
Essential Duties and Responsibilities
Maintains files; communicates with probationers and Probation Officers regarding the status of cases; monitors and tracks payments of probationers; notifies the Court of arrearages; assists in the enforcement of collection of court order monies via collection calls and/or correspondence (50%).
Communicates with victims; ensures victims receive notification of court proceedings, modification to terms of probation or any violation of the terms of probation that results in the filing of a petition to revoke (30%).
Provides clerical and administrative assistance on probation cases including unsupervised and low risk supervision caseloads; prepares court documents and written correspondence; enters data into case management systems; collection of data (20%).
Performs other duties as assigned.
Budget Responsibilities This position has no responsibility over any types of budget.
Project Responsibilities Provides project research and clerical support on process improvement projects.
Oral Communication Duties This position explains County proceduresor processes and responds to public inquiries.
Written Communication Duties This position creates or edits documents, internal memos, emails, formal letters and reports.
Interactions with the General Public Interacts extensively with employees, customers, the general public, vendors, regulatory bodies, and other groups and/or individuals and Institutions over the telephone, by email, and/or in person.
Interactions Specifically with Customers Always (More than 85% in a year)
Minimum Education Required Associate’s Degree in Social Services or related field; or equivalent combination of education, training and experience.
Minimum Years of Directly Related Experience Required Three (3) years experience or equivalent combination of education, training and experience.
Professional Credentials Required
Committee on Judicial Education and Training requires 16 hours of training per year.
Must possess and maintain a valid Driver’s License.
Knowledge Required Database management; Federal, State, Local Law, Regulations, Statutes; Caseload management – Probation; mathematics; customer and personal services.
Skills Required Critical thinking; active listening; communicating diplomatically; customer service; problem solving; diversity awareness; time management; typing and data entry.

Constantly sits to complete report, operate computers and to attend to other duties.
Consistently lifts up to 10 lbs.; occasionally lifts up to 25 lbs.; rarely lifts up to 50 lbs.
Constantly requires dexterity for keyboard operation.
Incumbents in this position may be required to walk to and from work sites; routinely bend, twist, stoop and rarely kneel.
Work Environment Incumbents in this position generally work in an office environment. Incumbents in this position may spend time in lobby environment.
Safety Risk Exposure Incumbents in this position are generally not exposed to safety risk; occasionally may be exposed to telephone verbal abuse by customers or citizens and emotional individuals.
Protective Gear & Safety Manuals Incumbents in this position are required to constantly follow written safety procedures and manuals relevant to the division or department.
Consequences of Error Potential errors can cause inconveniences to other employees, and/or delays in related work areas. Delays of services are possible.
