Clinical Education Department Secretary
Location: St. Petersburg, Florida Site: Orlando Health Bayfront Hospital Schedule: Monday‑Friday 7:30 a.m. – 3:30 p.m. Department: Education/Learning Specialists Position: Department Secretary Responsibilities
Manage team priorities and deadlines, adjusting workflow to meet team and patient needs. Utilize computer applications including Word, Excel, PowerPoint and Teams; prepare charts, graphs, and presentations. Schedule appointments for managers and maintain departmental calendars. Maintain and order unit and office supplies; manage departmental budget limits. Submit work orders for housekeeping, maintenance, biomedical, engineering or other needs. Monitor and assist with time and attendance through KRONOS. Resolve caller and visitor inquiries, screen phone calls, and refer to appropriate personnel. Receive and distribute mail, faxes, and electronic notifications. Process timely payment of departmental invoices and disbursements. Assist in making patient appointments. Maintain departmental files and adhere to file‑maintenance and records‑retention schedules. Organize meetings, prepare reports, distribute materials, and transcribe minutes. Track progress of special projects. Perform routine problem solving. Use discretion with confidential information. Transport and deliver items and medications (excluding controlled substances and IV chemotherapy drugs). Manage time autonomously, follow through on assignments and meet deadlines. Maintain punctual attendance and compliance with Orlando Health policies and federal, state, and local standards. Enhance professional growth through participation in educational programs and workshops. Perform all other duties as assigned. Qualifications
High School diploma or equivalent. Two years clerical or secretarial experience. Working knowledge of word processing, spreadsheet, presentation, and/or database software; preferably Microsoft Office. Certification in Microsoft Office products (Word, Excel, PowerPoint, Access) preferred. Seniority level
