Position Summary The Leasing & Construction Coordinator supports the Real Estate and Construction departments by managing administrative processes throughout the leasing and development lifecycle. This role is responsible for setting up and maintaining critical documentation, coordinating lease and construction workflows, maintaining the CRE database, and ensuring timely communication across internal teams and landlords. The ideal candidate is highly organized, detail-oriented, and proactive, with strong communication and cross-functional coordination skills.
Key Responsibilities Lease Administration & Documentation
Set up new files for all new leases and locations, ensuring accuracy and completeness.
Create records and assign tasks in the CRE software prior to handoff to the Paralegal.
Manage the lease portfolio, including uploading documents and preparing reports.
Collect and log all required landlord documentation, contact information, and ownership changes for company-leased properties.
Prepare Rent Commencement Date and Term Commencement memoranda, as well as Memoranda of Lease.
Facilitate tracking and timely delivery of Certificates of Insurance to landlords.
Database & File Management
Organize, update, and maintain SharePoint electronic files and CRE database records for the Real Estate team.
Ensure the accuracy, consistency, and integrity of departmental reports and data sources.
Construction & Opening Support
Verify delivery and store opening dates with the construction department and Landlords.
Track tenant allowance reimbursements, including collecting and submitting all required backup documentation and monitoring due dates.
Cross-Department Coordination
Assist with resolving facilities and accounting issues related to leased properties.
Coordinate activities related to the leasing process for real estate transactions, ensuring timely completion of key milestones.
Provide general administrative support for Real Estate and Construction teams, including scheduling, document preparation, and correspondence.
Additional Support
Perform other clerical duties and special projects as assigned.
Qualifications
Some experience in real estate, lease administration, construction coordination, legal administration, or related field.
Strong organizational and time-management skills with the ability to manage multiple deadlines.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook), SharePoint, and CRE/lease administration software.
Excellent written and verbal communication skills.
Detail-oriented with a high level of accuracy in data entry and documentation.
Ability to work collaboratively across departments and with external partners.
Strong problem-solving skills and a proactive, service-oriented approach.
Working Conditions
Full Time Remote
Manual dexterity to operate a keyboard and type 35 wpm minimum; operating office equipment; efficient handling of high-volume tasks.
