Job Summary Patient Care Representatives maintain a friendly, professional environment as the first and last point‑of‑contact for patients, ensuring a polite, attentive, and organized experience that enhances overall patient satisfaction.

Essential Job Functions

Greet and direct all patients, visitors, and staff upon entry, monitoring the reception area throughout the day and providing assistance as needed.

Facilitate a pleasant, prompt check‑in experience by verifying information and answering questions about patient questionnaires and forms.

Print daily team/physician schedules and confirm appointment details.

Attend to walk‑in patients, scheduling inquiries, and prescription/record pick‑ups as necessary.

Disseminate pertinent information via telephone and computer systems as appropriate.

Cross‑check and update next‑day charts based on the appointment schedule.

Maintain an orderly, pleasing workspace ensuring integrity and safety for patients and staff.

Complete appointment confirmation calls per the patient schedule.

Collect necessary co‑payments, non‑covered service fees, and existing account balances during check‑out.

Complete essential reports and forms as requested.

Assume additional administrative responsibilities as needed.

Competencies

Demonstrated knowledge of material, methods, instruments, and equipment.

Proficient reading, writing, and mathematical calculation abilities.

Ability to follow oral and written instructions.

Strong multitasking, fast‑paced work, and time‑management skills to meet organizational deadlines.

Education and Experience

High school diploma (Associate’s degree preferred).

Experience with Microsoft Office products.

Prior customer service experience.

Ability to work under pressure and respond positively to patient requests.
