Summary of Job Classification: The Deputy Clerk and Deputy Court Executive of the Supreme Court assists the Clerk and Court Executive of the Supreme Court with non-judicial administration of the Supreme Court and is responsible for leading and overseeing the administrative functions of one or more units. May act as Clerk and Court Executive of the Supreme Court in their absence. ADDITIONAL COMMENTS
The successful candidate in this leadership position will be expected to work in person between the hours of 8 a.m. and 5 p.m. Monday through Friday. ESSENTIAL FUNCTIONS
To perform this job successfully, an individual must be able to perform each essential function listed below satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Frequency and percentage of time may vary based on assignment. Assists with the management and operation of the supreme court clerk’s office and supervision of clerk’s office personnel. Generates and analyzes weekly case management reports to determine necessary action. Develops and maintains policies, processes and procedures for the Supreme Court. Carries out recruitment and dismissal procedures to support successful onboarding and offboarding of employees. Maintains the personnel records system and verifies that all required forms and information are properly entered. Serves as a liaison between Human Resources, Justices and staff regarding Family Medical Leave, Family and Medical Leave Insurance, workers compensation, short term disability and other employee policies and procedures. Processes invoices for payment and reimbursement requests to secure compliance with rules. Provides fiscal support including reconciliation of daily balancing reports, prepares regular bank deposits and completes monthly bank reconciliation. Communicates with the State Court Administrator’s Office judges and staff as well as external agencies or organizations. Participates or leads the organization and planning of special projects and court events. Serves as the point of contact between the multi district litigation panel and the Chief Justice and Clerk of the Supreme Court; prepares orders, coordinates and provides technical support for virtual multi district litigation panel proceedings. Serves as Americans with Disabilities Act coordinator for the Supreme Court. Occasional statewide travel is required. Attends meetings and completes training as required. Performs other duties as assigned. ESSENTIAL FUNCTIONS CONT.
Supervisor Responsibilities: Work requires supervising and monitoring performance for a regular group of employees (1 or more full-time employees) including providing input on hiring/disciplinary actions and work objectives/ effectiveness, performance evaluations, and realigning work as needed. The work performed by majority of employees is complex. Human Collaboration: Interactions and communications may result in recommendations regarding policy development and implementation. May also evaluate customer satisfaction, develop cooperative associations, and utilize resources to continuously improve customer satisfaction. Freedom to Act & Impact of Actions: Employees normally perform assignments within broad parameters defined by general organizational requirements and accepted practices. End results determine effectiveness of job performance. Knowledge & Skills: Work requires advanced skills and advanced and extensive knowledge of work. Incumbent can handle complex tasks and translate complex nuances related to aspects of the job. Recognized by others within organization for technical depth of knowledge. Fiscal Responsibility: Position has major fiscal responsibility. MINIMUM QUALIFICATIONS
Education and Experience Equivalency: Graduation from an accredited college or university with a bachelor’s degree, preferably in business, public or court administration, or related field. OR Work-Related Experience: At least four (4) years of professional administrative experience in a court, law firm, legal entity/agency or related field or at least four (4) years of increasingly responsible administrative experience in an appellate court. Preferred Qualifications: Supervisory experience. Physical Effort Requirements: Exerts up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull, or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally. Work Environment/Locations: Relatively free from unpleasant environmental conditions or hazards. Office environment. Exposures: Individuals who are hostile or irate. Individuals with known violent backgrounds.
