Medical Assistant (MA) - TSA STGi is recruiting for a Medical Assistant for Federal Occupational Health (FOH) under the Transportation Security Administration (TSA) contract. The position is located in Rockville, Maryland and is eligible for telework after the initial probationary period.

Job Summary Provide direct support to the mission of FOH, a component of the Program Support Center (PSC). Responsibilities include improving the health, safety, and productivity of the federal workforce through case review activities, client communication, and coordination with the FOH Business Operations team.

Case Review Specialist

Ensure exam scheduling, management, and processing of all medical records, complete QA checks, and correct entries of charges/administrative fees on exams according to the Interagency Agreement (IAA).

Send complete exams to the Reviewing Medical Officer (RMO) for review in a timely manner via secure transmission.

Transmit RMO determinations to the customer agency and their employees via secure transmission.

Reach out to clinics to retrieve missing exam items, ensuring all portions of exam completed are billed appropriately.

Collaborate with FOH team members to ensure workflow meets customer needs and relay any concerns raised by customers to the Program Manager (PM).

Essential Functions

Ensure exam scheduling requests are submitted timely and appointment notifications are tracked in accordance with the designated timeframe and trackers.

Retrieve exams for case review processing from FOH clinics and FOH Private Provider Network (PPN) clinics.

Enter tickets for services performed at FOH PPN clinics.

Process exams including QA, track missing components, ensure completeness per work order, and send to RMO.

Track exams to ensure processing is fluid and timely.

Enter applicable data on RMO timesheets.

Ensure medical reviews, letters, and exams are sent securely as applicable.

Enter tickets to charge associated agency for AMA/RMO time.

Participate in cost recovery efforts, verifying/validating, editing, and updating billing tickets as needed.

Communicate professionally with team members and internal/external customers.

Exam Processing

Ensure case review processing timeframes and quality assurance parameters are met as directed by the PM before forwarding to RMO or agency.

Attend all mandatory meetings and training as assigned.

Demonstrate understanding of the Case Review process and learn new workflows and processes.

Display competencies in all areas of case review.

Service Operations

Submit scheduling requests within 24 hours of receipt to the appropriate OHC or through the PPN.

Retrieve medical records using the PPN portal daily and internal electronic file storage.

Reach out to OHC clinics to request records after exam completion, follow up on missing items timely, and track receipt.

Process exams timely to meet FOH requirements; QA, send to RMO, complete data entry, and send RMO determinations to agency.

Escalate missing exam items to PM when not received.

Transmit exams according to IAA specifics and tracked dates.

Report all privacy and security breaches immediately per FOH and HHS policy.

Attend all meetings with team and internal customers as directed.

Administrative (Business/Management)

Coordinate with Business Operations to provide customer services (e.g., exams, outreach) through FOH OHCs and the PPN.

Assist with implementing new case review business and changing requirements for existing business when new agreements are initiated or modified.

Cost Recovery

Ensure RMO and administrative billing is completed, review discrepancies, and notify PM.

Review PPN invoices each month, identify discrepancies, and correct billing as needed.

Ensure all billing items are entered correctly and timely.

Demonstrate a complete understanding of the current billing database, RMO reviews and exam tracking.

Participate in rolling audits analyzing reports, validating charges, and ensuring missing charges are entered or discrepancies rectified timely.

Staffing and Reporting Relationships

Be on time and work all designated hours as determined by PM.

Request leave according to specified timeframes with vendor and PM.

Adhere to telework policy when permitted.

Create a climate of trust, accountability, and professionalism; report staffing concerns to PM.

Identify and report problems with hardware, telecommunications, or other issues impacting duties to PM.

Technology

Fully knowledgeable and proficient in IT systems for database tracking, billing, and other deliverables, including but not limited to Microsoft Word, Excel, Outlook, Teams, and Adobe Acrobat.

Attend training on IT systems and complete mandatory IT training by specified deadlines.

Inform PM of IT and equipment needs that prevent completion of case review processing within deadlines.

Perform all FOH associated tasks on Government Furnished Equipment.

Strategy

Manage customer/agency complaints professionally with feedback within 24–48 hours of receipt. Escalate to PM when unresolved and follow up promptly.

Ensure exam processing timeline is met per agency agreement.

Communicate with RMO's when specific/urgent requests are needed.

Metrics

Generate customer-specific reports as required per agency agreement.

Input data into tracking sheets to retrieve metrics as requested by leadership.

Suggest process improvements to PM to ensure quality and efficiency goals for the case review team are met.

Ensure data is entered fully for case review processing into database and onto agency specific trackers including the exam scheduling tracker and exam tracker.

Proficient with MS Excel, Word, Teams, and Outlook.

Typing speed: 40 wpm.

Required Experience

Medical Assistant Degree/Certification required (including passing a national certification exam such as the Certified Clinical Medical Assistant (CCMA) or Certified Medical Assistant (CMA)).

Prefer Bachelor's Degree in Business or Health-related field or a minimum of 2 years’ experience performing administrative duties in a health care program.

Working Conditions / Physical Requirements Telework eligible after probationary period.
