The Secretary II – Radiology reports to Unit Management and is responsible for the written records and reports that comprise the patient's medical record for each hospital admission or visit. The role processes all physician orders, maintains chart forms for nursing personnel, files reports from ancillary departments, schedules appointments and add‑ons, enters charges for services, and maintains open communication with nursing staff, physicians, inter‑departmental personnel, and patients.

Responsibilities

Consistently adheres to and understands HMH and unit specific policies and procedures.

Maintains a clean, safe, and ergonomic environment, maintains equipment, reports malfunctioning and orders service as necessary; removes extra equipment and supplies, and reports broken items.

Performs clerical duties with little or no supervision; displays resourcefulness in completing daily tasks and special projects.

Provides clerical support as needed to facilitate the smooth operation of the unit, including sorting and distributing mail and requesting internal services.

Cooperates with reassignments in the interest of guest/patient care.

Adapts work schedule to meet the needs of the unit and ensures adequate staffing through willingness to float.

Data entry: enters orders for ancillary tests (Lab, X‑Ray, EKG, Dietary) and coordinates with minimal delay or distraction.

Directs internal and external customers to proper destinations and interacts courteously with all visitors, coworkers, and departments.

Patient chart preparation and maintenance: prepares charts on admission/visit and maintains as appropriate; files materials such as care plans and lab reports; thins charts.

Performs all guest/patient record activities and charting transcriptions accurately; transcribes physician orders in a timely manner; prioritizes tasks.

Updates guest/patient information in the computer system, accepts transfers and admissions, updates census board, and communicates with the staffing office.

Supply maintenance: orders and maintains supplies for adequate availability, following guidelines.

Telephone coverage: handles phone messages and related issues promptly.

Utilizes computer system to input and process medical data accurately; ensures charge, diagnosis, and statistical data are complete.

Other duties and/or projects as assigned.

Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

High School diploma, GED, or equivalent program.

Excellent written and verbal communication skills.

Proficient computer skills, including Microsoft Office and/or Google Suite.
