Summary Directs non‑physician operations of the outpatient office efficiently and effectively within the Rowan Medicine Department of Pediatrics. Works with Physician and Administrative leaders to ensure program requirements are met as outlined in university policies. Provides support to physicians to deliver high‑quality patient care, handling front‑desk operations, billing procedures, hiring, training, supervising, evaluating and terminating staff, and resolving complaints.

Essential Duties and Responsibilities

Supervise and assist with overall daily operations of the site, managing personnel, patient billing, facility issues and implementation of department/office policies. Ensure weekly missing charge reports are reviewed and input into the billing system.

Build faculty schedules in IDX and track all scheduling changes, maintaining time and attendance logs.

Maintain time and attendance records for staff and schedule vacations for faculty and medical staff.

Serve as backup to the Administrator for emergent situations.

Plan and schedule work to maximize effective utilization of employees, equipment, resources and materials within budgetary requirements.

Make recommendations regarding hiring, firing, promoting, disciplining employees; prepare medical staffing schedules ensuring adequate staff relative to physician numbers.

Train, supervise, evaluate clinical staff and obtain necessary signatures.

Prepare daily staff assignments to rotate between front and back duties, ensuring skills are maintained.

Evaluate patient flow and redirect staffing as needed to increase efficiency and reduce cost.

Resolve conflicts regarding medical staff.

Prepare payroll biweekly.

Monitor ongoing performance of medical staff to maintain a customer‑friendly, physician‑friendly environment.

Ensure completion of daily assignments by staff before departure.

Review staff attendance monthly to ensure compliance with attendance policy.

Perform front office responsibilities as outlined in the Senior Receptionist/Patient Scheduling job description when needed.

Clinical Duties

Monitor staff compliance with regulations (OSHA, CLIA, etc.) and ensure proper sterilization procedures.

Ensure medications are stored properly and accessed only by authorized personnel.

Maintain a professional and orderly clinical office appearance.

Train staff on triaging patient phone calls and lab results, assigning responsibilities based on knowledge level.

Work with providers to ensure patient management protocols are available.

Ensure adequate clinical support to accommodate patient volume.

Define the work of clinical staff to maximize utilization of employees, equipment, and materials.

Serve as a clinical liaison with local hospitals or agencies to ensure adherence to necessary processes.

Recommend new or revised departmental policies to maximize patient flow, provider efficiency, staff efficiency, and patient satisfaction.

Office Management and Administrative Duties

Maintain inventory, order supplies and equipment responsibly, and order calibrations as suggested by manufacturers.

Demonstrate working knowledge of scheduling, billing, and EMR systems to assist staff.

Run reports to monitor staff compliance with policies.

Oversee front desk audits in conjunction with billing office.

Generate monthly reports and take follow‑up actions as needed.

Maintain purchase orders, transfer funds, and close POs when complete.

Maintain disaster recovery vaccine storage plan.

Serve as primary contact for security and answering services.

Work with Plant Operations to keep office in good repair and pleasant appearance.

Maintain records in accordance with federal, state, university, and departmental regulations.

Review physicians’ paper and computer schedules weekly, monthly, and quarterly; resolve discrepancies with the Administrator.

Expedite and coordinate services such as maintenance, repairs, supplies, and mail.

Oversee maintenance of departmental records and ensure file/record‑keeping systems meet departmental needs.

Coordinate inventories and order office supplies; prepare requisitions for equipment and materials as directed.

Keep abreast of all pertinent regulations, laws, and policies. Ensure staff are trained and evaluated on compliance adherence. Perform other related duties as assigned.

Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Education and Experience Bachelor’s degree in a health‑related field and two (2) years of supervisory and operations management experience. Must be able to work evenings and Saturdays as needed. Demonstrated ability to work independently, excellent communication and organizational skills, ability to multitask and be flexible. Knowledge of Windows‑based programs required; insurance plan knowledge preferred.

Salary Information Annual base salary range: $63,000‑$70,000 (in compliance with The State of New Jersey’s Pay Transparency Act). Placement within the range is determined by qualifications, experience, internal equity, and other factors.
