Overview
Prismecs is seeking an experienced
HR Site Administrator
to support plant operations through comprehensive administrative, HR, and mobility coordination. This role ensures smooth administrative processes, supports travel logistics, manages timesheets, assists HR with ATS/HRIS tasks, and maintains compliance with internal processes. The HR Site Administrator reports directly to the Plant Manager and collaborates closely with HR, Mobility, Operations, and site leadership teams.
Key Responsibilities Administrative & Site Support
Manage travel arrangements including flights, hotels, transportation, and reservations.
Handle VISA and passport processes for contractors.
Maintain administrative filing systems and expense documentation.
Manage petty cash and provide accurate petty cash expenditure reports.
Coordinate with vendors for payment follow-ups (hotels, off‑platform services).
Travel to different sites when required.
HR & Mobility Coordination
Support USA HR with ATS and HRIS system tasks.
Review and screen candidates’ resumes for site-level needs.
Maintain personnel mobility tracking and ensure compliance with mobility policies.
Provide employees with required policies such as banking details, invoicing guidelines, travel expense processes, and timesheet procedures.
Collect, verify, and revise weekly/monthly timesheets.
Data & Reporting
Maintain accurate spreadsheets and operational reports.
Assist in updating procedures, mobility policies, and related documentation.
Ensure accuracy and timeliness in administrative reporting to Plant Manager and HR.
Requirements
Technical diploma or university degree in Administration or related field.
Minimum
3 years of experience
in a similar administrative or HR support role.
Strong English proficiency (reading, writing, speaking).
Proficient with Microsoft Windows, Excel, Word, and Outlook.
Experience with reporting and maintaining data spreadsheets.
Ability to work rotation shifts as required by plant operations.
Basic understanding of HSE protocols.
Knowledge of
ISO 9001, ISO 14000, and OHSAS 18001
(preferred but not required).
