Legal Assistant - Transactional Real Estate A leading San Diego law firm is seeking an experienced and highly organized Legal Assistant to support a senior real estate partner in a fast‑paced, high‑volume transactional practice. The role involves handling a wide range of commercial real‑estate matters, including joint ventures, financing, leasing, and related transactions.
The ideal candidate will be detail‑oriented, proactive, and able to manage competing priorities efficiently. You'll work in a collaborative, client‑focused environment that values professionalism, teamwork, and excellence.
Key Responsibilities
Provide dedicated 1:1 administrative and transactional support to a senior real estate partner.
Manage attorney time entries and billing processes using 3E Elite.
Handle scheduling, document organization, and correspondence.
Utilize commercial real‑estate forms and resources (AIA, AIR, CAR).
Prepare and submit conflict checks, open new matters, and draft engagement agreements and conflict waiver letters.
Organize closing deliverables and prepare comprehensive closing binders for real‑estate and corporate transactions.
Order lien, UCC, and litigation searches for due diligence.
Draft, redline, review, and revise transactional documents (leases, purchase and sale agreements).
Manage entity formations and compliance for corporations, LLCs, and partnerships, including filings, EIN applications, annual reports, and franchise tax filings.
Coordinate with state agencies and service companies to obtain Certificates of Formation and Good Standing.
Required Qualifications
Minimum 5 years of experience as a transactional legal assistant in real estate.
Strong administrative skills with proficiency in MS Word, Excel, and Outlook.
Experience supporting real estate development, acquisitions, and transactional matters.
Exceptional word processing and proofreading skills.
Excellent written and verbal communication skills.
Highly organized with strong attention to detail.
Ability to thrive in a fast‑paced, collaborative environment.
Tech‑savvy and familiar with AIA, AIR, and CAR systems.
Top 3 Must‑Haves
5+ years of transactional real‑estate experience.
Positive attitude and detail‑oriented mindset.
