Position Summary The Data and Administrative Coordinator is responsible for a broad range of data tracking, reporting, event coordination, and student development needs for the office of Career Services. This position works collaboratively with the Career Services team to produce intentional and effective programming, assessments, and targeted services to students across all academic disciplines. The Coordinator champions the CSM with specific ownership to surveys, fairs, and connection functions. This position will develop and implement policies and procedures, assessment tools, and compile data to produce statistical reports on student engagement and student career plans.
Essential Functions
Serve as the champion for the university's CSM platform for paid job and internships, utilizing its capabilities to the fullest, ensuring data is properly managed: student approvals, event management, surveys, First Destination Survey.
Collaborate with career staff for specific needs in relation to CSM employer and job functions and corresponding reports, leveraging for fairs and academic events.
Collaborate with career staff for specific needs in relation to CSM student‑facing functions including appointments, document review, and assessments.
Utilize CSM to implement the First Destination Survey (Career Outcome Report) for all graduating traditional undergraduate students, collaborating with commencement team to ensure maximized participation; Provide statistical data reports to various departments across campus.
Manage tracking and reporting on various career preparation outcomes throughout the academic year (e.g. 4 Year Discipleship Plan, Pathways, Career Plan, etc.).
Leverage platforms including Focus2 and Live Alumni to maximize effectiveness of Career Services.
Champion financial literacy program for all university students.
Administrative Oversight
Assist with data entry regarding student and employer records in CSM, Colleague and Raisers Edge as needed.
Serve as professional first point of contact and welcome students, employers, faculty, and staff via in office, email, or telephone; responsible for responding to general and student emails.
Manage logistics for campus‑wide fairs and academic events including coordinating tasks, timelines, calendar reservations, and online registration.
Collaborate with Assistant Director and Career Advisors on specific events for targeted recruitment and invitation.
Develop rubrics for event success in collaboration with the Assistant Director and provide statistical data and reports on outcomes for each event.
Collaborate with Assistant Director on administrative coordination for student development programs including the Job Shadow Program.
Minimum Qualifications
Vibrant belief in Jesus Christ with ample evidence of personal discipleship.
Education: B.A. in education, human resources, student development, communication, organizational leadership, or related field.
2 years of relevant higher education, administrative support, or human resources experience.
Experience collaborating with a variety of constituents.
Alignment with and enthusiastic embrace of the mission, principles, and philosophies of Vanguard University and a lifestyle in consonance with its values. Ability to sign and align with the statement of faith of Vanguard University.
Project management and organizational skills.
Computer literacy and proficiency on the Microsoft Office Suite and various analysis programs.
Working knowledge of student development and career development.
Demonstrated commitment as a team player to support and collaborate with senior leadership and faculty colleagues, as well as the initiative and ability to work independently.
Excellent communication and interpersonal skills that will result in effective collaboration with faculty and key campus stakeholders for strategic thinking, team building, and managing differences. Healthy self‑awareness and high levels of emotional intelligence.
Regular participation in worship and service within a local church community.
Salary This is a full‑time position. $20.02 to $25.47 (Hourly). Placement within the salary range is commensurate upon education and experience. Posted salary range reflects anticipated hiring scale for the position. Placement at the upper range is reserved for those that demonstrate the highest level of education and experience necessary for this position. All benefits of current Vanguard Employees would remain the same.
