Responsibilities
Receive and administer rental and allied equipment-related parts and service calls from customers and the sales team.
Administer the lifecycle of parts and service work orders, including opening/closing jobs, preparing/tracking quotes, ordering parts, and invoicing.
Assist customers and technicians with parts research, ordering, and fulfillment, maintaining records of backorder ship dates.
Handle parts inventory returns, core returns, damage invoices, and warranty claims, ensuring compliance with manufacturer and company policies.
Support day‑to‑day administration of the service schedule for technicians serving the rental fleet and customer‑owned units.
Coordinate ordering and receipt of shop consumables and stock parts.
Deliver parts to field technicians and run department-related errands as needed.
Maintain a professional appearance and effective communication with all internal and external customers.
Qualifications
High school diploma or GED equivalent required.
Minimum 3–5 years of combined experience as a retail parts counter salesman and/or service planner in a parts sales and service shop environment.
Basic technical knowledge of Caterpillar and allied heavy equipment, including mechanical, diesel, electrical, and hydraulic systems.
Ability to read and comprehend computer‑based schematics, specifications, service and parts literature, technical bulletins, safety manuals, and related publications.
Good knowledge of dealer management information systems (DBS) and Microsoft Office applications (Word, Excel, Outlook).
Proficient verbal, written, interpersonal, and customer‑service skills.
Strong problem‑solving skills, detail oriented, and ability to work with a high level of accuracy.
Sense of urgency and ability to exceed customer expectations.
Adaptability to a dynamic, fast‑paced service environment.
