Strong interest and working knowledge of the music and entertainment industry.
A minimum of
2–3 years’ experience
in a management company, label, agency, or similar fast-paced environment within music or entertainment.
Exceptional organizational and time-management skills with the ability to manage multiple priorities and deadlines.
Demonstrated experience using Notion and AI-powered productivity tools to manage workflows, organize information, and support high-level executives in fast-paced environments.
A proactive self-starter with strong problem-solving instincts and attention to detail.
Comfortable working independently while staying aligned with leadership.
High level of professionalism, discretion, and reliability.
Responsibilities
Administrative Support:
Provide comprehensive administrative support to the CEO, including managing correspondence, inboxes, phone calls, and organizing meetings and appointments. Support day-to-day company operations with accuracy and discretion.
Calendar Management:
Maintain and coordinate a complex, high-volume calendar for the CEO, including scheduling, rescheduling, prioritization, and coordination across multiple time zones. Proactively manage conflicts and protect the CEO’s time and focus.
Communication:
Serve as a liaison between the CEO and internal and external stakeholders, including artists, partners, labels, brands, and vendors. Respond to inquiries, draft emails, and prepare documents and presentations as needed.
File Management:
Organize and maintain digital and physical files, ensuring accuracy, easy accessibility, and strict confidentiality of sensitive and proprietary information.
Event Coordination:
Assist in the planning and execution of events such as album launches, listening sessions, promotional events, showcases, and industry conferences, coordinating logistics and supporting execution as needed.
Travel Arrangements:
Coordinate professional and approved personal travel logistics for the CEO and artists, including booking flights, accommodations, ground transportation, and preparing detailed itineraries to ensure smooth travel experiences.
Expense Management: Track and reconcile expenses, prepare expense reports, and assist with basic budget tracking and financial organization.
Project Support:
Provide support for various projects and initiatives by assisting with research, tracking deliverables, coordinating timelines, and ensuring follow-through on action items.
Relationship Management and Confidentiality:
Build and maintain positive professional relationships with artists, partners, and vendors while representing the company with the highest level of professionalism. Safeguard all sensitive information and uphold strict confidentiality standards at all times.
Time Commitment:
This role will begin as a
part-time position (approximately 20–25 hours per week) . Flexibility is required, including availability for urgent matters and occasional evenings or weekends. There is potential for this role to transition to full-time based on fit, performance, and evolving needs.
