Position Summary
The Firm Operations & Events Coordinator coordinates a wide range of essential administrative, events, and facilities support functions across the firm's various departments and locations. This role includes comprehensive event planning, managing firm-wide scheduling, travel logistics, facilities support, and coordinating various operational projects. Responsibilities also encompass managing branded inventory, internal communications, and providing administrative support for key firm initiatives like training and committee work. This position requires exceptional organizational skills, attention to detail, proactive problem-solving, and a professional demeanor.
Essential Functions Travel and Events Coordination
Plan and execute all internal and external firm events, including holiday parties, firm-wide retreats, summer program events, team outings, and coordination for external industry events hosted by D&M.
Coordinate and manage all logistical arrangements for onsite and offsite board or committee meetings, including securing conference space, making meal/catering reservations, and managing A/V setup.
Act as the firm's central liaison for all internal travel, managing end-to-end logistics including booking hotels, setting dinner reservations, creating on-site schedules, assigning office space, activating key fobs, and arranging parking.
Operations Coordination
Manage firm facilities and office maintenance, including furniture ordering, inventory management for office supplies (like kitchens), escalating support tickets, coordinating office planning, and prepping offices (cleaning/setup) for new hires.
Oversee the inventory, ordering, and stocking of branded merchandise for clients and internal use, and order business cards and name plates for all new attorneys and agents.
Manage the firm-wide calendar and handle other complex scheduling needs like performance evaluation meetings and attorney training programs.
Draft and manage the distribution of the Weekly Newsletter.
Coordinate administrative processes for projects such as annual client gifts.
Serve as a backup for the Front Desk Administrative Assistant during their out-of-office periods.
Provide project management support and process coordination for other key initiatives and committees.
Assist with other firm projects as needed.
Education
AS or BS degree in business, communications, or a related field required.
2+ years of relevant administrative and events experience required.
Qualifications
Ability to manage multiple complex projects simultaneously, often with minimal supervision.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
High technical competency and an ability to quickly learn new systems.
Strong verbal and written communication skills for internal and external correspondence.
