$45,133 - commensurate with qualifications
Schedule:
Full time, 37.5 hrs/week, 8:30am – 5:00pm (flexible)
Job Summary:
Under minimal supervision, reporting to the Lead Senior Director of Development, the Development Coordinator provides comprehensive administrative support—including complex high‑level tasks, confidential project support, and strategic coordination—to ensure smooth day‑to‑day program operations for the Arnold School of Public Health.
Job Duties General and Complex Administrative Support
Manages and coordinates multiple calendars and mailboxes for Lead Senior Director and other fundraising team members, including coordination of internal meetings with the Dean, School Leadership and Development Leadership.
Schedules and coordinates meetings for the Lead Senior Director, boards or advisory councils, and the development team as needed.
Serves as the expert and lead on all expenses, expense reports, and purchasing responsibilities, including ordering/reconciliation of office supplies and other items for programmatic operational needs.
Supports development team with expense reports and reimbursements processes, tracking from start to finish.
Provides budgetary operational assistance through deposits, reimbursement reconciliation of operational funds, and initiates payment requests and executes Foundation projects for vendor payments or reimbursements.
Coordinates with School Finance and other departments regarding donor funds and endowments, communicating with the School budget and accounts payable departments to ensure timely processing.
Manages all travel arrangements for the Lead Senior Director and other fundraising team members.
Supports Lead Senior Director in drafting proposals, gift agreements and coordinating with other internal Development programs (Gift Planning, Annual Giving, Donor Relations, Communications, and Corporate and Foundation Relations).
Serves as the subject matter expert in all things administrative for the School development team and anticipates fundraisers’ needs.
Blackbaud/Databases
Assists development team in logging activities, creating reports, and queries, and maintains communication with internal units.
Uses Visual Analyzer (Blackbaud), LiveAlumni and Insightful to prepare travel materials for donor visits and post‑visit follow‑up tasks.
Provides accurate data entry in CRM as needed.
Diligently maintains clean, up‑to‑date data for all donors, prospects, and alumni, coordinating with the Advancement Services team.
Becomes the subject matter expert for School development team with CRM and other databases.
Development & Stewardship
Assists Lead Senior Director and development team with donor giving cycle (pre‑qualification, cultivation, solicitation, stewardship).
Supports drafting proposals, gift agreements, and follow‑through processes.
Serves as liaison to Annual Giving and Lead Generation for Give4Garnet and other fundraising efforts.
Manages school gift acknowledgements and various correspondence.
Coordinates adoption of collateral and materials.
Assists with event management for donors, alumni relations, and advisory councils and boards.
Assists with donor‑facing engagement to develop deeper relationships with donors and alumni.
Prospect Management
Supports Lead Senior Director and development team with prospect qualification and research.
Provides reports to assist development team in advancing prospects to donors.
Assists with processes around CRM activities (contacts, solicitations, dollars raised, top prospects).
School University Development Liaison
Serves as the primary liaison for University Development teams (Annual Giving, Corporate and Foundation Relations, Donor Relations, Communication and Marketing, Gift Planning, Gift Processing, and the Foundation).
Education & Experience
Bachelor’s degree in a related field and 3+ years of related experience (or equivalent combination of certification, training, education, and/or experience).
Skills & Abilities
Proficiency in verbal and written communication, attention to detail, customer‑service orientation, independent and team work.
Professional judgment, discretion, interpretation of information, initiative.
Experience with budget management (expense reimbursement, accounts payable).
Proficiency in MS Word, Excel, PowerPoint, Adobe Acrobat Professional.
