The part‑time Enrollment Assistant will work in the Enrollment Management Center (EMC) and support students and staff with enrollment services, including handling inquiries, managing student data, and operating various campus systems. Duties and Responsibilities
Answering and directing incoming calls from the College's main number and the 800 line to other departments. Assisting students via the 800 line with class registration, appointments via Navigate, self‑placement direction, add/drop, withdrawals, address changes, resetting passwords, obtaining transcripts, and uploading immunization records. Instructing students via phone or email on the use of computer software such as Banner Self‑Service, Degree Works, College Scheduler, Navigate, and Blackboard. Participating in outreach, retention, and Year‑After‑Graduation survey calls. Scanning and managing folder information in Soft Docs/Etrieve Content and Etrieve Central. Entering prospective student information. Assisting with maintaining daily edit reports and running reports from various systems. Assisting with creating new student ID (A#) numbers. Serving as a student advocate by finding solutions to students' issues and problems and maintaining liaison with faculty, advisors, personal counselors, admissions office, student accounts offices, and divisional support staff to ensure inquiries or concerns are resolved. Providing information to students, faculty members, and other college staff relating to enrollment services or college‑related matters via phone, email, or in person using the Banner student information system. Registering students, scheduling enrollment, registration, placement, and advising appointments using SARS and Navigate systems, processing add/drops, withdrawals, address changes, and program changes in Banner, resetting passwords with the Super User Tool, and booking classrooms for staff and others as needed. Assisting faculty in using Banner Self‑Service to enter midterm deficiency grades and final grades, print class lists, retrieve students' contact information, and reset faculty passwords. Maintaining knowledge of and explaining entrance requirements to certain health programs (e.g., Radiologic Technology, Nursing, Dental Hygiene), placement testing policies, course prerequisites, and intensives. Meeting with parents of students to explain FERPA rights and dual enrollment procedures. Advising faculty on when to give a student an incomplete or in‑progress grade and entering grade changes submitted by faculty. Confering with the Assistant Director of Enrollment Management Center on policy and procedure for complicated situations. Preparing for the Registration Sessions (virtual or on‑campus) and providing appropriate materials for students and advisors. During registration sessions, lifting holds, entering overrides, assigning passwords, investigating with IT for computer setup and troubleshooting, supervising work study students, collaborating with the lead facilitator, and monitoring session flow to ensure timely advising and registration. Facilitating the admission of walk‑in students by answering admissions questions, informing new students of college services, entering applications, checking accuracy, setting up appointments with placement, and advising as needed. Researching and obtaining test scores and entering them into Banner as necessary. Testing Banner upgrades to ensure the proper functionality of routine processes. Other duties associated with the Enrollment Management Center as assigned. Requirements
High School diploma/GED or higher. Knowledge of the principles and practices of office management, including exercising sound judgment and discretion in handling confidential information. Ability to understand, explain, and apply laws, rules, regulations, policies, procedures, specifications, standards, and guidelines governing unit activities. Knowledge of general office equipment, including personal computers, telephones, copy machines, fax machines, shredders, calculators, printers, electronic staplers, and similar devices. Ability to analyze data, draw conclusions, and make appropriate recommendations. Ability to follow written and oral instructions, communicate effectively in oral expression, and give precise written or oral instruction. Ability to gather information through questioning individuals and by examining records and documents. Ability to write concisely, express thoughts clearly, and develop ideas in a logical sequence. Ability to assemble information in accordance with established procedures to determine proper format and procedure for assembling items of information, and to maintain accurate records. Ability to deal tactfully with others, establish rapport, and maintain harmonious working relationships with individuals of diverse identities such as socioeconomic level, sexual orientation, race, ethnicity, and veterans, including variations in academic preparation, physical and learning abilities. Ability to learn and effectively use Microsoft Office, Banner System, Degree Works, and other applications required for student services. Experience with equity‑minded work and/or understanding of individuals of diverse identities, including race, ethnicity, socioeconomic level, sexual orientation, veterans, academic preparation, and physical and learning abilities. Salary Range: $17.94 per hour in accordance with the College's Part‑Time wage schedule. Location: Lowell campus with occasional travel to Bedford as needed.
