Administrative Assistant – Educational Opportunity Fund (EOF) Program

Rutgers, The State University of New Jersey, is seeking an Administrative Assistant for the Educational Opportunity Fund (EOF) program within the School of Arts and Sciences.

Position Details

Base pay range: $52,602.48/yr – $52,602.48/yr

Location: New Brunswick, NJ (Campus Facilities – Livingston & College Avenue)

Employment type: Full‑time

Seniority level: Entry level

Job function: Administrative

Key Responsibilities

  • Process various administrative documents and maintain internal and state databases.
  • Assist with department‑wide events, programs, marketing, and staff training.
  • Provide support to students, faculty, and staff requiring program‑wide information.
  • Perform tasks related to procurement, HR, and financial transactions.
  • Create routine informational materials.
  • Arrange meetings and logistics, greet visitors, and direct them to appropriate destinations.
  • Organize schedules, make appointments, maintain records and files, and prepare supply orders.
  • Monitor daily staff attendance and supervise work‑study students and student colleagues.
  • Carry out routine and non‑routine tasks with occasional review of work outputs by supervisor.
  • Utilize strong general administrative/office management principles and practices to support program coordination.

Qualifications

  • Minimum Education and Experience: Bachelor’s degree in a related field or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation, bookkeeping, and/or report writing.
  • Required Knowledge, Skills, and Abilities:
    • Good communication skills and computer literacy.
    • Ability to prioritize tasks in a fast‑paced environment and work with students in a higher education setting.
    • Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook, etc.).
    • Professional conduct when communicating with students, staff, and faculty.
  • Preferred Qualifications:
    • Previous experience with general budget applications.
    • Experience supporting higher education and professional development programs.
    • Knowledge of university academic and professional development processes and standards.
    • Familiarity with learning platforms (Canvas, etc.) and Cornerstone/HCM.

Physical Demands and Work Environment

  • Fast‑paced, student‑focused, collaborative environment.
  • Ability to move and/or lift items up to thirty pounds.
  • Availability to work occasional evenings, weekends, and during the summer institute.

Special Conditions

  • Must be able to work occasional evenings/weekends and be available during Summer Institute.
  • Occasional travel between Livingston and College Avenue campuses for staff meetings, signature events, training, or conferences.
  • A skill test will be completed at the time of interview.
