Prestige Staffing is hiring for an Administrative Assistant for the Department of Anesthesiology. The position is contract-based, Monday through Friday during normal business hours.

Job Duties

  • Manage Physicians Calendar
  • On Call Calendar Paging System
  • Payroll (Timekeeping)
  • EPIC Open Records
  • Schedule Meetings (identifying space, location, bridge lines and catering, as needed)
  • Assist with welcoming MD interviewing candidates
  • Assist with Department Communications
  • Preparation of the Daily OR Schedule /Call Schedule
  • Greet visitors and answering incoming calls
  • Employee Compliance Tracking
  • Healthcare Learning Center (online training module)
  • Continued Medical Education (CME tracking)
  • Facility Access Coordinator Phone/PIC Assignments

Support

  • Assist with answering incoming calls and greeting guests
  • Expense Reports
  • Faculty Needs (business cards, lab coats, lockers, mail, phones/PIC’s, etc.)
  • CV Maintenance, as needed
  • CME Tracking (System)
  • Supply Ordering (SCM)
  • Maintain files for faculty state licenses and immunization records
  • Office Coordinator (Setup desk space, phones and order office keys)
  • Check Request and Invoice Processing
  • Oversee/Manage payroll timekeeping for the anesthetist/APP team (Most likely a division of 30)
  • Monitor/send reminder to providers re: EPIC open records
  • Help define areas for process improvement
  • Manage ongoing projects

Minimum Qualifications

  • High School diploma required
  • Must have EPIC reporting experience
  • Qgenda experience highly preferred
  • Able to work independently and manage one other person
  • 5 years of clerical or administrative assistant experience
  • Strong MS Word, Outlook, Teams, and PowerPoint
  • Advanced Excel skills a must
  • Fast and accurate typing (55 wpm)
  • Able to pass criminal background and drug test
  • Must be organized and deadline oriented
  • Customer Service demeanor
  • Excellent grammar and sentence structure
  • Detail and deadline oriented
  • Able to manage multiple projects
  • Credentialing or Medical Staff Office experience would be helpful
