Job Overview
The Frederick Douglass Academic Success Center is seeking a competent and efficient individual with great initiative, diligence, sound judgment, and excellent interpersonal skills. Candidates should provide a high-level administrative service within the area of academic success. The individual should possess a high skill level with Microsoft Office, Publisher, webpage maintenance, and other new media communications technologies. The candidate should have intermediate knowledge of Starfish and Banner. The responsibility of the position includes but is not limited to budget reconciliation, expenditures, academic reporting, scheduling, and other administrative duties.
Required Qualifications
- Bachelor's degree required.
- 4 years of work experience in a collegiate office environment, preferably in an academic setting.
Preferred Qualifications
- This position requires advance skills in general office administration to include excellent skills in technology and tutoring.
- Proficient skills in Banner, Excel, and Starfish.
- Proven and demonstrated skills in use of advanced office and financial related computer applications.
Physical Demands

- Work is normally performed in a typical interior/office work environment.
Essential Duties/Responsibilities
- Sorts and distributes mail.
- Greet, screen, and direct faculty, students, staff, administrators, and the general public as needed.
- Answer and resolve any administrative related questions or concerns.
- Maintain and monitor the unit budget.
- Ensures the office always operates professionally, smoothly, and efficiently.
- Prepares travel requests and vouchers, making the necessary arrangements such as procuring car, airline and hotel reservations via Travel Inc.
- Process all receipts, vouchers, travel forms required for documentation upon return of FDASC employee for reimbursement and/or accountability.
- Answer incoming calls and respond to inquiries within 48 hours of the call.
- Receive and deliver messages for all FDASC employees.
- Maintain and facilitate departmental interactive web page.
- Order supplies and equipment and maintain inventory.
- Originate and process correspondence, reports, etc. most of which are of confidential nature.
- Process recommendation letters for graduate school for current and former students.
- Compile, organize, and organize data for use in data reporting and research.
- Performs data entry for banner system (purchase orders, requisitions, travel, office supplies, student academic holds). Track and manage purchasing process.
- Develop and maintain databases and record management systems for all students enrolled utilizing Starfish technology.
- Attends workshops regularly to stay abreast on updates to Banner and for professional development.
- Assist in managing work study students.
- Plan, schedule, and arrange meetings, makes room assignments for special events, and retreats.
- Manage room reservation with in FDASC.
- Tutorial Assistance.
- Collaborates with academic project directors and student support staff responsible in assisting the Parent and Student Academic Success Advocate for the academic recovery of students to develop and implement best practice for student support models.
- Collaborates in the development and distribution of office literature and brochures, using publishing software.
- Order and replenish office supplies.
- Serves as an office liaison handling communication of information, human resources paperwork, materials, key requests, and other miscellaneous details in the office.
- Onboarding for new FDASC employees.
- Assist Director of Frederick Douglass Academic Success Center, the Parent and Student Academic Success Advocate Director, and the Athletic Advisement and Skills Enhancement Specialist.
- Performs other job-related duties as assigned by the department.
- Update student visits in Starfish.
- Place and remove student hold in Banner.
- Must be willing to support and believe in the Morehouse College's vision, mission, and value statement.
