The Executive Assistant will provide first‑class and comprehensive administrative support to the Executive Leader. This role coordinates day‑to‑day activities, manages administrative needs, ensures timely flow of information, and facilitates regular and timely communication as instructed. The Executive Assistant is responsible for anticipating and executing the demands of the Executive Leader while acting as a gatekeeper to manage schedules, availability, and protect time.
The Executive Assistant partners with the Executive Leader, gathering and conducting preliminary analysis of information from multiple stakeholders to assist in meeting preparation and to track progress on projects and strategic initiatives. The Executive Assistant organizes and prioritizes tasks independently with discretion, using sound judgment to ensure efficiency. This role requires a thorough knowledge of organizational functions, people, programs, and projects. The Executive Assistant demonstrates a high level of interpersonal skills and accommodates diverse working styles and perspectives at all levels of the organization. The role deals with sensitive or confidential tasks on a regular basis.

Compensation and Work Hours
Starting pay $25.00 per hour (more based on relevant experience). This role is located in‑office at our Fargo, ND Home Office and is required to work Monday through Friday 8am‑5pm.

Job Duties Include
- Coordinate day‑to‑day activities, manage the designated Executive Leader’s needs, and facilitate regular and timely communication as appropriate.
- Act as a gatekeeper to manage schedules, availability, and prioritization of conflicting needs.
- Handle tasks expeditiously and proactively; follow through on work to successful completion, often with deadline pressures.
- Organize and prioritize tasks independently and with discretion, using sound judgment to ensure efficiency.
- Monitor email communication for the Executive Leader by reading, researching, and routing correspondence appropriately.
- Perform expense reconciliation for the Executive Leader.
- Gather and conduct preliminary analysis of information from stakeholders to assist in meeting preparation and to measure progress on projects and strategic initiatives.
- Partner with internal and external stakeholders on sensitive or confidential tasks on a regular basis.
- Compose, compile, and/or proofread written communication, presentations, and reports for the Executive Leader to ensure accuracy and completeness.
- Schedule, prioritize, initiate, and provide logistical support for conference, video, and in‑person meetings and events.
- Assist on projects and initiatives by gathering information, maintaining reports, and following up on outstanding action items to keep projects on track.
- Coordinate travel arrangements including car, air, lodging, meals, and meeting logistics.
- Act as Project Manager for special projects assigned by the Executive Leader.
- Provide investor‑related support during busy times as requested by the Investor Relations department.
- Create goals, processes, and habits to foster personal growth and development.
Experience and Education
- High School Diploma or GED required.
- Minimum 5 years of related work experience in a fast‑paced, high‑pressure environment, or equivalent combination of education and experience required.
- Minimum of 3 years in an Administrative Assistant capacity, reporting to director level or above required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, OneNote, SharePoint, etc.) and internet/social media platforms required.
- Associate degree in Business or Communications preferred.
- Notary Public for the state of North Dakota or ability to obtain within 6 months of hire required.
- The nature of the work requires a thorough knowledge of organizational functions, people, programs, and projects.
