Our client, a cutting-edge AI technology company, is seeking a proactive and detail-oriented Executive Assistant to support their CEO. Their platform powers mission-critical workloads for global enterprises, enabling unmatched speed, scale, and reliability. The Executive Assistant to the CEO will serve as a strategic partner, managing high-volume scheduling, communications, and cross‑functional coordination. This individual must excel in a fast-paced, evolving environment and operate with a high degree of professionalism, discretion, and judgment. The ideal candidate is a problem solver, a quick learner, and someone who anticipates needs before they arise.

Onsite, 2‑month contract role based in Sunnyvale, CA. Pay $65–$70/hr.

Key Responsibilities

  • Manage complex and dynamic calendar scheduling, ensuring effective prioritization and alignment with company objectives.
  • Coordinate domestic and international travel logistics, including itineraries, accommodations, and meeting preparation.
  • Serve as the primary point of contact between the CEO and internal/external stakeholders, ensuring clear and timely communication.
  • Prepare executive‑level materials such as presentations, reports, briefing documents, and meeting notes.
  • Support the CEO in board‑related activities, including meeting preparation, agenda management, and follow‑up actions.
  • Handle confidential information with the highest level of discretion and professionalism.
  • Assist with operational and strategic projects, ensuring tasks are completed efficiently and deadlines are met.
  • Facilitate smooth day‑to‑day operations by anticipating needs, identifying risks, and proactively solving problems.
  • Coordinate and manage special events, team meetings, offsites, and executive gatherings as needed.
  • Help strengthen organizational workflows by identifying opportunities to improve processes and communication.

Qualifications

  • 5+ years of Executive Assistant experience supporting a C‑suite executive; startup or high‑growth tech environment strongly preferred.
  • Exceptional organizational skills with the ability to manage multiple priorities in a fast‑paced setting.
  • Strong communication skills, both written and verbal, and the ability to interact professionally with all levels of the organization.
  • Highly proficient with Google Workspace, Slack, Zoom, and other productivity tools; experience preparing presentations and dashboards is a plus.
  • Proven ability to work independently, exercise sound judgment, and make decisions on behalf of the CEO when necessary.
  • Demonstrated ability to handle confidential information with integrity.
  • Experience working with technical or engineering teams is a plus.
