Job Description

The Executive Assistant to the executive is a highly organized, proactive professional who provides comprehensive administrative and strategic support. This role is pivotal in ensuring the executive’s time is maximized, priorities are advanced, and the executive office operates with excellence. The EA acts as a liaison between the executive and internal/external stakeholders, manages sensitive information with discretion, and anticipates needs to drive organizational effectiveness.

Responsibilities

  • Serve as the primary point of contact for the executive’s office, screening and prioritizing inquiries from staff, partners, board members, and external stakeholders.
  • Prepare, proof, and organize reports, presentations, correspondence, and meeting materials; draft communications on behalf of the executive.
  • Coordinate and execute logistics for board meetings, leadership team sessions, retreats, and high-level events, ensuring all details are handled with accuracy.
  • Track action items, follow up on commitments, and ensure deadlines are met for strategic projects and organizational initiatives.
  • Screen and prioritize emails, calls, and inquiries, ensuring timely responses.
  • Assist in planning and executing strategic initiatives and special projects.
  • Track deadlines, deliverables, and progress for key projects.
  • Handle confidential and sensitive information with the utmost discretion and professionalism.
  • Conduct research, summarize findings, and provide key information to support executive decision-making.
  • Manage and maintain the executive’s calendar, including scheduling meetings, travel arrangements, and event coordination.
  • Manage and process expense reports, invoices, and other administrative tasks as needed.
  • Build and maintain strong relationships across the organization and with external partners, representing the executive office with credibility and professionalism.
  • Support the executive with occasional personal tasks and errands as required, ensuring seamless integration of business and personal priorities.
  • Continuously improve administrative processes, identifying ways to streamline workflows and enhance the effectiveness of the executive office.

  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, executive members, external partners, and investors.
  • High level written and verbal communication skills.
  • Demonstrated proactive approaches to problem‑solving with strong decision‑making capability.
  • Emotional maturity.
  • Highly resourceful team‑player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion. Be adaptable to various competing demands and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast‑paced environment.
  • Forward‑looking thinker, who actively seeks opportunities and proposes solutions.

Education and Experience Requirements

  • Associate or bachelor’s degree preferred but not required.
  • 2 to 5 years of experience supporting C‑Level Executives.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat.
  • Exposure to social media management.
