Executive Assistant
Work Location: Fairfax, VA
Work Hours: Full Time, Primarily business hours

Here Is What You Will Need
- Bachelor’s degree in Business Administration, Healthcare Administration, or related field preferred.
- Minimum of 5 years of administrative, business, or office management experience; healthcare or physician group experience preferred.
- Strong understanding of payroll processes, benefits administration, and HR compliance.
- Excellent organizational, communication, and time management skills with a proactive and professional demeanor.
- Advanced proficiency in Microsoft Office Suite (Excel, Outlook, Word, Teams).
- Demonstrated ability to manage multiple priorities with discretion and confidentiality.
A Day In The Life Of a Executive Assistant
- Provide services and support for the following areas:
- Administrative & Business Support
- Coordinate and schedule all weekly meetings with Physician Leadership, including meeting logistics, agendas, and follow‑ups.
- Schedule and participate in weekly financial calls; track outcomes and action items.
- Prepare materials, coordinate logistics, and document minutes for PMC/PLLC meetings and conference calls; distribute minutes to eligible members only once approved.
- Manage quarterly Peer Review Statistics, including monthly and weekly reminder tracking.
- Prepare annual NDT benefits documentation to ensure compliance.
- Complete annual Workers’ Compensation audit and coordinate with Finance and HR teams as needed.
- Maintain physician‑related resources on the intranet, including NPIs, benefits, vacation summaries, and internal reference materials.
- Support employment verifications, ordering of lab coats, business cards, and other administrative tasks.
- Financial Administration
- Oversee biweekly payroll submission and payroll register approval for physicians.
- Manage 401(k) plan administration, including biweekly submission of physician contributions to Fidelity.
- Record and categorize monthly physician expenses as business or discretionary; submit expense reports for payroll reimbursement.
- Submit and track invoices for all PLLC expenses; ensure accuracy and timely follow‑up with Accounting.
- Maintain monthly tallies of physician vacation days, shifts worked, and part‑time schedules to ensure contractual compliance.
- Human Resources & Benefits Administration
- Serve as a point of contact for physicians, ensuring compliance, confidentiality, and consistency with company policies.
- Manage physician benefit programs, including medical, dental, vision, 401(k), and FSA plans; coordinate annual open enrollment and vendor communications.
- Support physician recruitment: schedule interviews, coordinate candidate travel, host meet‑and‑greets, and manage candidate onboarding logistics.
- Conduct new physician orientation and onboarding: new hire paperwork, systems setup, and IT scheduling.
- Partner with Center Directors to assist with physician‑related administrative needs (holiday forms, recognition events, communications).
- Scheduling & Operational Coordination
- Partner with Physician Leadership to maintain and update the physician schedule; process changes and requests promptly.
- Track physician time off, vacation, and shift schedules; ensure alignment with contractual obligations.
- Coordinate communications between physician leadership, operational teams, and administrative staff to ensure clarity and efficiency across the region.
