Job Summary

Provide highly confidential, high level, key support to and management of the office of the President/CEO. Act as the communication and coordination contact for the Board of Directors, Executive Staff and other internal and external governance entities.

Job Duties / Essential Functions

  • Provide administrative support to the President/CEO including confidential correspondence, Board and Committee work, communication with Executive Staff and other essential duties.
  • Handle sensitive information appropriately, while maintaining a high level of confidentiality.
  • Ensure that various time sensitive documents are completed, approved, and delivered on time.
  • Act as liaison between Board of Directors and Executive Staff.
  • Provide primary staff support for Board of Director (BOD) Governance Committee.
  • Coordinate Board of Directors’ and Committee meetings to include creating reports, compiling reports, preparing agenda, distributing materials, meals and other necessary support of the BOD.
  • Attend and provide administrative and logistical support for all Board and Committee meetings and operations.
  • Record accurate minutes from all Board and Committee meetings.
  • Assist the Board Chair with the annual CEO evaluations.
  • Coordinate Board Member Development and Recruitment plans in support of the CEO.
  • Adhere to compliance with the VOA Chartering Requirements with timely submission of required documents.
  • Work on special projects as assigned.

Required Education and Experience

  • Bachelor’s degree in business, public relations or related field/related experience, preferred.
  • Experience in an executive office environment.
  • Experience working with a Board of Directors and Committee Structure.
  • Must possess a high level of integrity.
  • Must have strong interpersonal skills and ability to build relationships with stakeholders, including staff, Board members and external partners.
  • Expert level written and verbal communications skills.
  • Self‑directed with a demonstrated ability to achieve high performance goals and meet deadlines in a fast‑paced environment.
  • Excellent organizational skills with demonstrated proactive approaches to problem‑solving and strong decision‑making capability.
  • Detail oriented and highly motivated.
  • Excellent computer skills including but not limited to Microsoft Office application (Word, Excel, PowerPoint, Publisher etc.).
  • Current valid driver’s license with acceptable driving record.
  • Automobile liability insurance that meets minimum requirements.
