Position Overview
The Executive Assistant provides administrative support for the Dean of the College of Business and Economics. Responsibilities include appointment and travel scheduling, supporting high‑impact projects, coordinating communications with university leaders, monitoring policies, and providing advisory support to the Dean.
Key Responsibilities
- Coordinate logistics for internal and external meetings, including agenda preparation and attendee materials.
- Arrange and manage travel for the Dean and Provost, including booking flights, accommodations, and vehicle reservations.
- Prepare and edit correspondence, speeches, reports, and presentation materials.
- Transcribe minutes and follow up on action items for meetings.
- Manage and reconcile budgets for the Provost and Vice Chancellor, compiling reports in Excel.
- Maintain accurate files, track pending issues, and prevent scheduling conflicts.
- Collaborate with deans, administrators, and external constituents such as the Board of Governors and vendors.
- Research, compile data, and develop presentation materials for academic and administrative projects.
- Implement problem‑solving strategies to address scheduling or operational issues.
- Provide direct administrative support to the Provost and Vice Chancellor, applying substantive knowledge of the university's mission and structure.
Qualifications
- Minimum 3 years of progressively responsible administrative/office management experience; or bachelor’s degree in Business Administration or related discipline with at least 1 year of experience.
- Preferred: bachelor’s degree with at least 5 years of progressive university administrative experience.
- Strong written and verbal communication skills.
- Proficiency with MS Office, especially Excel, and experience managing budgets.
- Ability to work independently, anticipate needs, and resolve conflicts proactively.
- Knowledge of university policies and experience working with senior administrators.
- Valid certifications or licenses not required.
