As the team continues to grow, we are looking for a motivated and versatile Executive Assistant to provide essential operational and administrative support to a group of five VP‑level attorneys and business leaders.

About The Role

In this role, you will serve as a trusted partner to senior leadership by anticipating needs, driving operational efficiency, and ensuring seamless day‑to‑day execution within a fast‑paced environment. You will manage complex scheduling, coordinate travel and events, support communication and documentation, and collaborate closely with other executive assistants and stakeholders across the organization. Success in this role requires exceptional judgment, discretion, initiative, and a team‑first mindset.

  • Manage complex calendars and coordinate scheduling across multiple time zones, ensuring alignment of meetings, priorities, and commitments.
  • Oversee travel logistics and complete expense reporting with accuracy and adherence to company policies.
  • Plan and execute team activities, including staff meetings, all‑hands sessions, off‑sites, and social events.
  • Use task management tools (e.g., Asana) to track deliverables, follow up on action items, and support timely execution of team priorities.
  • Partner closely with legal leadership and collaborate with other executive assistants to ensure smooth organizational operations.
  • Prepare and refine written communications, reports, and presentation materials with strong attention to detail and executive polish.
  • Demonstrate a hands‑on, proactive approach by stepping in wherever needed to support organizational success.

Who You Are

  • 3–5+ years of experience providing executive‑level administrative support to Sr. Director/VP‑level leaders.
  • Project management experience, including use of tools such as Asana.
  • Proficiency with Google Suite, Google Calendar, Slack, Microsoft Office, and Zoom.
  • Experience planning events or coordinating team‑wide activities.
  • Strong organizational and communication skills, with the ability to manage multiple simultaneous assignments.
  • Proven ability to improve processes and drive operational efficiency.
  • High levels of integrity and discretion when handling confidential information.
  • Impeccable attention to detail and ability to work effectively with minimal supervision across multiple locations and time zones.

Preferred

  • Experience supporting multiple executives simultaneously within a fast‑moving environment.
  • Background in legal, compliance, or professional services organizations.
