Responsibilities

  • Screen and direct all calls coming into the office.
  • Coordinate medical leadership schedule of appointments, meetings, etc.
  • Transcription and general correspondence as needed.
  • Organize and assist in coordinating socials, meetings, conference calls, and other special events.
  • Responsible for completing daily volume reports and trends as needed by on-site Medical Director(s).
  • Place reminder calls to physicians and key players at the hospitals for monthly and quarterly meetings and conference calls.
  • Coordinate and record all clinician CME and other required documents by the company and/or the facility.
  • Record minutes for meetings and conference calls.
  • Establish and maintain files both hard copy and electronically.
  • Screen, re‑direct, and assist callers – patient complaints, physicians with questions, physician payroll errors, hospitals requesting information.
  • Assist Regional Clinical Performance Advisors with various mail outs, phone calls, etc. for the facility.
  • Perform general duties such as typing, operating office machines, ordering supplies and materials, etc.
  • Update facility contacts and account/hospital team in Salesforce.
  • Create and maintain graphs and spreadsheets as needed to analyze and report data.
  • Prepare reports/letters in Microsoft Word, Excel and PowerPoint.
  • Assist with any special projects and other duties that arise.
  • Run reports and data from the EMR.
  • Any other duties deemed necessary by management.

Knowledge, Skills, And Abilities

  • Exceptional organizational skills.
  • Ability to communicate effectively with all levels.
  • Excellent working knowledge of Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Exceptional attention to detail.

Education

  • High School Diploma, required.

Work Experience/Qualifications

  • 4+ years of applicable administrative experience, preferably in medical practice, hospital, or other clinical environment.
