Position Overview

Our client is looking for a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the Chief Financial Officer and Vice President of Finance. This Executive Assistant role requires excellent multitasking abilities, strong judgment, and the capacity to manage multiple priorities efficiently in a fast‑paced setting. The Executive Assistant will manage complex schedules, prepare materials for important financial meetings, coordinate travel and event logistics, and ensure smooth operational support for two senior finance leaders.

Responsibilities

  • Manage complex calendars and coordinate meetings for senior finance executives
  • Prepare agendas and materials for financial meetings
  • Arrange travel and event logistics
  • Handle confidential communications with internal and external stakeholders
  • Support cross‑departmental initiatives
  • Maintain organized filing systems to assist in executive support
  • Assist with executive preferences and personal logistics as needed

Required Experience and Skills

  • At least 5 years of experience providing high‑level support as an Executive Assistant to senior or C‑suite executives.
  • Expert ability to manage complex calendars and schedules efficiently.
  • Excellent communication skills with a professional executive presence.
  • Proven discretion in handling sensitive and confidential information.
  • Proficient in Microsoft Office applications, particularly PowerPoint and Excel.
  • Strong organizational skills with the ability to anticipate and address executive needs.
  • Skilled at balancing multiple priorities with accuracy and attention to detail.
  • Professional demeanor with strong writing and proofreading capabilities.
  • Experience coordinating calendars and travel arrangements in a corporate setting.
  • Positive, service‑oriented attitude and a collaborative approach.

Preferred Experience and Skills

  • Experience supporting finance executives in an Executive Assistant role.
  • Experience preparing and editing executive‑level presentations.
  • Familiarity with corporate event coordination and travel logistics relevant to an Executive Assistant.
