About the Position

The Executive Assistant provides high‑level administrative support to the Partner & Senior Managing Director based in Chicago, while also coordinating with and supporting members of the Dallas‑based team. The role requires strong organizational skills, sound judgment, and the ability to manage multiple priorities in a fast‑paced environment. The ideal candidate is proactive, communicates clearly, and consistently stays ahead of the executive’s needs.

This individual must have strong problem‑solving abilities, the discretion to handle confidential information appropriately, and the ability to work comfortably with clients, colleagues, and senior stakeholders at all levels. They should remain steady under pressure as schedules shift and demands change, and possess strong written and verbal communication skills, including the ability to draft messages that reflect the executive’s tone and style.

The role will be based in Dallas, TX, with an expectation of working on‑site approximately four days per week, depending on team schedules and business needs. Relocation is not provided.

Responsibilities

Executive Support to the Managing Director (Chicago‑Based Executive)

  • Represent the Executive and the firm professionally, demonstrating strong follow‑through and sound judgment in all interactions
  • Manage a complex calendar, schedule meetings, and resolve conflicts with sound judgment
  • Coordinate internal and external meetings and manage interactions with internal teams, firm‑wide stakeholders, and external contacts
  • Prepare, edit, and maintain spreadsheets, presentations, meeting materials, and other supporting documents
  • Monitor email communications, identify actionable items, draft responses when appropriate, and track follow‑up to completion
  • Coordinate travel and accommodations for the Managing Director and manage day‑of adjustments as needed
  • Prepare accurate and timely expense reports
  • Perform occasional ad hoc personal and professional tasks with discretion, including responsiveness to emails, texts, or calls outside normal business hours when needed

Dallas‑Based Team & Office Support

  • Coordinate with Dallas‑based team members on scheduling, meeting preparation, and routine administrative needs
  • Schedule internal meetings, prep calls, and working sessions
  • Track and organize follow‑up items related to Dallas team activities
  • Assist with basic bookkeeping and accounting‑related tasks as needed
  • Help prepare materials for team discussions, internal reviews, and planning sessions
  • Provide general in‑office administrative support to ensure smooth daily operations
  • Assist with travel coordination and calendar alignment for Dallas‑based team members

Requirements

  • Bachelor’s degree required
  • 4+ years of experience supporting a C‑suite or Managing Director‑level executive, preferably in investment banking, private equity, asset management, or a similar finance setting
  • Strong proficiency in Microsoft Office and familiarity with collaboration/productivity tools such as Teams, Monday.com, etc.
  • Strong problem‑solving and analytical skills
  • Highly self‑motivated with the ability to work independently and take initiative
  • Consistently demonstrates integrity, excellence, teamwork, and results in all interactions
  • Handle confidential information and sensitive materials with discretion and sound judgment
  • Excellent verbal and written communication skills; confident interacting with investors, clients, and senior stakeholders
  • Ability to perform under pressure and meet tight deadlines while maintaining accuracy
  • Willingness and ability to travel as needed (approximately 15–20%)
  • Candidates must be eligible to work permanently in the United States without sponsorship

Compensation

The base salary range for this position is $85,000–$120,000. This is an estimated range based on the circumstances at the time of posting, however, may change based on a combination of factors, including but not limited to skills, experience, education, market factors, geographical location, budget, and demand. This position is also eligible for a bonus component that would be dependent on pre‑defined performance factors. All compensation determinations are based on the skills and experience required for the position and commensurate with experience of selected individuals, which may vary above and below the stated amounts.
