- Serve as a trusted partner for the SVP, Chief Legal Officer (CLO) and a key member of the global Legal, Public Affairs and Compliance (LPAC) team, driving operational priorities and providing high-impact administrative support in a dynamic business environment.
- The successful candidate will act autonomously, exercising independent judgment to evaluate situations, identify challenges, anticipate needs, prioritize competing demands, and make decisions on matters that have company-wide impact. This role requires exceptional business acumen, global and cross-cultural awareness, and the ability to manage complex projects and relationships across a diverse and multi-cultural organization.
Role Responsibilities
- Prioritize and manage the CLO’s agenda, including strategic scheduling, resource allocation, and time optimization. Exercise discretion in making commitments on behalf of the CLO within agreed parameters.
- Prepare for and coordinate quarterly Board of Directors and other leadership team meetings, including arrangement of meeting sites, catering, AV, ground and air transportation, hotel accommodations and other matters.
- Assist in the preparation of Board of Directors documentation, including notices, itineraries, and meeting materials.
- Oversee travel policy compliance and vendor relationships, ensuring seamless travel arrangements for the CLO and senior team members, including extensive international travel, visa applications, and expense reporting.
- Assist in preparing presentation materials, correspondence, and other draft documentation under direction of the CLO and senior team members.
- Undertake related duties as assigned, such as timely and accurate expense report processing, budget preparation, purchase requisitions, ordering products and services, and managing department office supplies.
- Perform gatekeeper role for external legal inquiries and correspondence.
- Demonstrate teamwork with other administrative professionals inside and outside the LPAC function in addressing issues in a fast‑paced, dynamic environment.
- Draft and review high‑level correspondence and communications for the CLO, ensuring clarity, confidentiality, and alignment with organizational goals.
- Provide legal support under attorney supervision, including contract administration, litigation/investigation support, and legal calendar/document management, while ensuring confidentiality and retention compliance.
Qualifications
- High school graduate required (Bachelor’s degree or business school courses preferred).
- Minimum of 10 years of previous executive assistant experience required, preferably including a corporate legal department and/or law firm setting.
- Thorough knowledge of executive administrative procedures; strong verbal communications skills; excellent grammar and business English and written/composition skills.
- Proficiency in Microsoft Office Suite; curiosity and learning agility for cutting-edge tools and technologies.
- Must be flexible and agile when plans change and show calm under pressure to adapt to those changes; flexibility to travel occasionally to support executive and leadership meetings offsite or key events as needed.
- Must be culturally astute, demonstrate an inclusive mindset, and have substantial experience working with international team members and counterparties.
- Strong ability to prioritize effectively in line with the guidance of the CLO and senior team members and understand key focus areas.
- Attention to detail; unquestioned personal integrity and capability to maintain confidentiality; a demonstrated ability to effectively interact at all organizational levels including C‑Suite executives, global leaders and corporate directors; an intense customer service and people orientation, and the willingness to introduce creative ideas in pursuit of continuous improvement.
Compensation
This role is based in New York City. Salary Range: $105,000–$125,000 along with a 401K match, profit sharing, and medical and wellness benefits. The salary range is commensurate with the candidate’s location, experience, and skill set. The range may vary if outside this location.
