About the Role:
We are seeking a highly organized, proactive, and resourceful Executive Assistant & Admin Manager to provide comprehensive support to our CEO. This role requires exceptional communication skills, strong business judgment, and the ability to manage multiple priorities with discretion and professionalism. The ideal candidate thrives in a fast‑paced IT services environment, anticipates needs before they arise, and ensures seamless day‑to‑day operations for the CEO and executive office.
Key Responsibilities
- Serve as the primary point of contact between the CEO and internal/external stakeholders, including global clients and partners.
- Manage and prioritize the CEO’s calendar, appointments, and travel schedules, including international trips.
- Prepare briefing documents, presentations, reports, and meeting materials with attention to detail.
- Track action items, follow‑ups, and ensure timely completion across multiple teams and projects.
- Handle confidential information with the highest level of integrity.
Administrative & Office Management
- Oversee administrative operations for the CEO’s office, ensuring smooth workflow.
- Manage office logistics, procurement of supplies, and vendor coordination.
- Maintain documentation, filing systems, and internal communications.
- Implement efficient processes to streamline workflows in a tech‑driven organization.
Communication & Relationship Management
- Draft emails, official communications, and internal announcements on behalf of the CEO.
- Liaise with senior leaders, clients, partners, and global teams professionally.
- Ensure timely flow of information to and from the CEO’s office.
Qualifications
- Bachelor's degree in business administration, Management, Communications, or related field.
- 5+ years of experience as an Executive Assistant, Admin Manager, or similar role—preferably supporting C‑suite executives in IT services, technology, or consulting organizations.
- Excellent communication, writing, and interpersonal skills.
- Strong organizational skills with the ability to multitask and prioritize effectively in a fast‑paced environment.
- Proficiency in MS Office Suite, G‑Suite, travel booking tools, and administrative systems.
- High emotional intelligence, professionalism, and discretion.
- Ability to work independently, take initiative, and anticipate needs.
- Experience supporting executives in a technology‑driven, global, or client‑facing environment is highly desirable.
