Adams & Martin Group has partnered with a reputable law firm to identify a Legal Administrative Assistant for their Larkspur office. This is a full-time opportunity offering a hybrid schedule (two weeks onsite for training, then three days in office and two days remote). The Legal Administrative Assistant will provide administrative support to attorneys handling insurance subrogation and products liability matters. The role is ideal for a detail-oriented, proactive professional who is organized, dependable, and able to take initiative in a fast-paced environment. Responsibilities

Administrative & Office Support

  • Assist attorneys and staff with day-to-day administrative tasks in a busy legal office environment
  • Open and close electronic and hard files for legal matters, including preparing correspondence and emails
  • Process invoices and follow up with vendors to ensure timely payments
  • Prepare and submit expense reimbursements and reconcile office credit card monthly

Calendar & Scheduling

  • Prepare weekly calendars for attorney and paralegal review
  • Enter and maintain court dates, deadlines, and office case lists
  • Coordinate meetings and communicate with building management as needed

Document & File Management

  • Scan and distribute mail, maintain and update hard files and electronic case files
  • Order office supplies and coordinate with equipment vendors for service or repairs
  • Assist with general office upkeep, including kitchen area, ordering snacks and lunches, and arranging gifts or reservations for office events

Team Collaboration

  • Work closely with attorneys and staff to support efficient office operations
  • Contribute to a collaborative and supportive work environment

Qualifications

  • Experience working in a legal office environment preferred
  • Highly detail-oriented, organized, and proactive with strong initiative
  • Ability to manage multiple tasks and deadlines
  • Candidates should live within one hour of the office (SF or North Bay preferred)

Work Environment

Hybrid schedule: two weeks onsite for training, then three days in office and two remote
