Advance Desk

is responsible for coordinating all trip-related planning from campaign headquarters. This includes managing the logistics workflow all the way through travel execution, and serving as the central point of contact for the traveling team and advance staff. While this role does not travel routinely, it ensures that the team and candidate have what they need—lodging, transportation, updated briefing materials, schedules, site requirements, press coordination, and follow-up actions—so each event runs smoothly and meets campaign standards.

Key Responsibilities

Serve as a member of the scheduling team working to confirm timing, routing, travel logistics, and event sequencing.

Maintain updated run-of-show documents and flag conflicts, delays, or operational risks.

Manage and serve as key point of contact for traveling advance staff.

Support on-the-ground advance staff with venue requirements, staging needs, program flow, accessibility, security, and visual standards.

Coordinate transportation, lodging, holds, conference rooms, vendor needs, and ensure plans align with budget.

Serve as an HQ point of communication with hosts, partners, and event organizers to confirm expectations and deliverables.

Coordinate with communications staff on basic press needs (press invites, credentialing, or staging guidance) as required.

Prepare and review candidate briefing materials, flagging if something is missing or needs additional information.

Ensure real-time updates reach field teams and principals, maintain documentation from each stop, and track follow-up items to support continuous improvements.

Qualifications, knowledge and skills:

Exceptional organizational skills – managing detailed schedules, travel plans, vendor management, event project management and logistics

Strong written and verbal communication – drafting advance memos, coordinating with staff, venues, and local stakeholders

Attention to detail – room layouts, signage, timing, security considerations

Time management under pressure – handling fast-changing schedules and long hours

Problem-solving ability – resolving last-minute issues calmly and efficiently
