Job Summary Staffmark is seeking a highly organized
Project Assistant Coordinator
to provide centralized administrative, payroll, logistics, and safety support in West Monroe, Louisiana. This role supports multiple project teams remotely and plays a critical part in maintaining accurate documentation, workforce coordination, payroll support, and compliance tracking across active projects.

Key Responsibilities
Provide administrative and clerical support to project management, logistics, and safety teams from a corporate office setting.
Maintain document control by organizing, tracking, and archiving project records, reports, logs, and correspondence.
Prepare and distribute correspondence, memos, reports, and spreadsheets as requested by leadership.
Collect, review, and electronically distribute project documentation, delivery tickets, and daily reports.
Maintain corporate filing systems to ensure documentation is accurate, compliant, and up to date.
Manage incoming and outgoing mail, express packages, and courier requests.
Order and maintain office supplies to support corporate operations.
Assist with scheduling meetings, interviews, and employee travel arrangements.
Payroll & Workforce Administration
Collect, review, and verify employee timecards submitted from project sites.
Assist with entering payroll data to support timely and accurate payroll processing.
Track workforce attendance, labor hours, equipment usage logs, fuel receipts, and project-related expenses.
Maintain spreadsheets and reports related to labor, workforce data, and project costs.
Support employee onboarding by coordinating new hire documentation, system access, and compliance requirements.
Serve as a liaison between field teams and corporate Payroll and HR departments.
Logistics & Safety Support
Assist with logistics coordination by communicating delivery schedules and updates between vendors and project teams.
Support coordination of employee travel, transportation, and lodging as needed.
Maintain safety documentation, training records, and compliance files.
Coordinate ordering, tracking, and distribution of PPE through approved vendors.
Assist with scheduling drug screenings and maintaining related compliance documentation.
Help coordinate company meetings, training sessions, and corporate or project-related events.
Required Qualifications Education
High school diploma or equivalent required.
Experience
Prior experience in an administrative, clerical, or coordinator role preferred.
Experience supporting construction, engineering, or project-based environments is a plus.
Technical Skills
Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Experience with document management systems or project/construction management software preferred.
Core Competencies
Strong written and verbal communication skills.
High attention to detail with excellent organizational and time-management abilities.
Ability to manage multiple priorities in a fast-paced corporate environment.
Self-motivated and able to work independently with minimal supervision.
Safety & Compliance
Familiarity with OSHA guidelines and compliance documentation is a plus.
Work Environment & Physical Requirements
Corporate office-based position with minimal to no field exposure.
Regular use of computers, phones, and standard office equipment.
Ability to sit, stand, and occasionally lift up to 25 lbs.
Occasional overtime may be required based on project or business needs.
